About the Role

Glow Healthcare Agency is on the lookout for a passionate and proactive Healthcare Rostering Manager to lead the charge in coordinating and optimising our rostering operations across our key service lines: NDIS, Aged Care (CHSP and HCP), and Supported Independent Living (SIL).

This is more than just a rostering job. It’s an operations-critical leadership role—you’ll be the architect of our service delivery schedules, overseeing the daily coordination of our support workers, nurses, and allied health clinicians. You'll also be supervising a Junior Rostering Officer, mentoring them to develop their rostering capability and systems know-how.

Key Responsibilities

As the Healthcare Rostering Manager, you’ll play a key leadership and operational role, including:

Lead & Supervise

Manage and mentor a Junior Rostering Officer, ensuring daily schedules are executed with accuracy and efficiency.

Provide training and support in rostering systems, shift planning, and compliance protocols.

System Innovation

Design and implement rostering structures that improve workforce agility, service delivery, and participant satisfaction.

Identify and execute process improvements to enhance rostering flow and reduce shift gaps or delays.

Workforce Coordination

Allocate the right support workers, nurses, and clinicians to the right clients—every time.

Match skill sets to client needs in compliance with NDIS, CHSP, HCP, and SIL support plans.

Respond quickly to unplanned staff changes, leave, and emergencies.

Problem Solving on the Go

Resolve last-minute changes, emergencies, and cancellations without impacting service delivery.

Provide after-hours rostering support or escalation pathways when needed.

Stakeholder Communication

Work closely with internal teams, support coordinators, families, and external providers.

Ensure all parties are kept informed and updated around changes, challenges, or updates to care schedules.

Reporting & Insights

Maintain up-to-date rosters, shift records, and service logs using Visual Care and other platforms.

Prepare internal performance reports and contribute to operational reviews and service delivery metrics.

Compliance & Documentation

Ensure rosters align with:

NDIS Practice Standards

Modern Award interpretations (SCHADS Award)

CHSP and HCP guidelines

Internal audit requirements and rostering policies

Support audit readiness by ensuring all rostering records are traceable, documented, and compliant.

About You

We’re seeking a committed professional with a background in healthcare rostering who is ready to lead with confidence and heart.

You’ll bring:

2–3 years’ experience in rostering or operational administration, ideally within NDIS, aged care, or SIL environments

Hands-on experience using rostering tools (e.g. Visual Care, Zanda, Carelink, AlayaCare, or similar platforms)

A proven ability to manage rosters under pressure, pivoting when needed while keeping a calm, solutions-focused mindset

Experience supervising or mentoring junior admin/rostering staff (ideal but not essential)

A strong understanding of service agreements, shift planning, award compliance, and support plan matching

An organised, proactive, and process-driven personality

Excellent interpersonal and communication skills—you can collaborate across teams, with participants, and professionals with ease

A background or familiarity with the SCHADS Award, NDIS billing, or aged care rostering guidelines
