About the Role
As Studio Coordinator, you are the face of the company, so being well-presented and confident is essential. You will be responsible for the co-ordination of the office, ensuring the office is running smoothly and efficiently as possible. You will play a vital role as the first point of contact for clients and guests who visit the studio, so you will understand the importance of a great first impression and ensure every visitor’s experience in the studio is a positive one.
A key part of your role will be working directly with senior management on day-to-day tasks. You will possess strong organisation and time management skills, excellent attention to detail, and can liaise effectively with the practice leaders. This is a fast-paced role with a diverse workload in a highly creative environment.
Duties and Responsibilities:
Welcoming guests and responding to queries via phone and email.
Maintaining stock of stationary and other office supplies.
Managing calendars, scheduling meetings and appointments directly with senior management.
Organising social and office events.
Managing flight/hotel bookings.
Monitoring of various email inboxes
Identifying tender project opportunities
Assistance with project bids submissions
Promoting a friendly and supportive working environment.
Maintaining social media platforms.
Assisting the senior management with recruitment, HR processes and staff onboarding.
Preparing documents, reports, and presentations with senior management.
Implementing and maintaining office procedures and administrative systems
Ad hoc admin tasks as required.
About You
Proven experience in a similar reception/office management role.
· Excellent communication and writing skills.
Highly organised and goal-oriented
Professionally presented.
Ability to work well autonomously and in a team
Proficiency in Excel and Microsoft Office / Teams.
Proficiency in Adobe Suite preferred
