About Us: Archivore is a boutique Architecture Studio based in the Sutherland Shire of Sydney, NSW. We provide services ranging from alterations and additions to existing homes, through to knock down and rebuild of new homes. We also work with builders on joint ventures known as design and construct.
Our values are aligned with designing sustainable buildings leveraging the Passive House standard with creative and innovative solutions for clients.
About the Role: Due to exceptional growth in the business we are looking for a motivated team member with a customer first mindset to join us. This is a permanent part time position for 20 hours per week and provides a flexible work environment with 1 day per week in the office. Designed to suite the needs of a working parent the expectation would be for availability between 10am and 2pm Monday to Friday.
About You: Having previously worked in a similar role for a minimum of 3 years you will take pride in delivering an exceptional customer experience with clear and consistent communication. You will be comfortable working in small team fast-paced environment that requires exceptional multitasking skills and collaboration with a wide range of both internal and external stakeholders.

Responsibilities:
· Manage day-to-day office operations and administrative tasks
· Organize meetings, prepare agendas, and take minutes.
· Support with project management, including scheduling and tracking progress.
· Assist in managing residential projects, ensuring timelines and milestones are met.
· Understand project documentation, monitoring and allocating project tasks.
· Ensure compliance with company policies, procedures and customer pathway.
· Handle financial management tasks such as invoicing, budgeting, and forecasting.
· Prepare and analyse financial reports using Xero.
· Managing emails in 3 inboxes (and allocating tasks to staff from emails).
Qualifications:
· Minimum 3 years’ experience in office administration or Studio management within interior design, architecture or construction industry.
· Proficiency in Microsoft Office Suite and Xero accounting software.
· Strong organisational and multitasking skills.
· Excellent communication and interpersonal abilities.
· Attention to detail and problem-solving skills.
· Ability to work independently and as part of a team.
· Knowledge of architectural practices and terminology is a plus.
