Job Summary:
The Construction Office Manager is responsible for overseeing the daily administrative operations of a construction office. This role ensures that all office functions run smoothly, supports project teams, handles documentation, liaises with clients and vendors, and assists with budget tracking and scheduling. The ideal candidate will have strong organizational skills, knowledge of construction industry practices, and experience managing office workflows.
Key Responsibilities:
Manage daily office operations including scheduling, communications, and office supply inventory.
Serve as the primary point of contact for clients, subcontractors, and suppliers.
Support project managers with administrative tasks such as permits, reports, submittals, and RFI tracking.
Maintain accurate records of contracts, change orders, purchase orders, and project documentation.
Handle accounts payable/receivable, job costing, and coordination with accounting.
Assist with payroll processing and ensure time tracking accuracy for field crews.
Monitor project timelines and help coordinate scheduling and logistics.
Prepare and distribute internal and external correspondence, including meeting agendas and minutes.
Ensure compliance with safety regulations and company policies.
Maintain filing systems (both electronic and paper-based) for efficient record retrieval.
Qualifications:
Proven experience as an office manager, preferably in the construction or related industry.
Familiarity with construction terminology, documents, and project phases.
Proficient in Microsoft Office Suite (Excel, Word, Outlook), construction software (e.g., Acconex, Buildertrend, Hammertech, or similar), progress claim software (e.g., Payapps) and XERO.
Excellent organizational, multitasking, and communication skills.
High level of accuracy and attention to detail.
Ability to work independently and prioritize in a fast-paced environment.
Associate's or Bachelor’s degree in Business Administration, Construction Management, or a related field (preferred but not required).
Work Environment:
Office-based with occasional visits to construction sites.
May involve extended hours to meet project deadlines.
