Administration Officer / Safety Management Coordinator

Emmanuel Lutheran Fellowship is thrilled to offer an exciting and rewarding opportunity for an Administration Officer to work collaboratively with our faith community on a part-time basis (0.4 FTE). Training will be provided to ensure the chosen candidate feels confident and supported as they settle into their new role.
Purpose of the Role:
This position provides support to the operations, ministry and mission of Emmanuel Lutheran Fellowship by providing diverse, high quality administrative assistance to the Church Council, Pastor and general congregational members.
The successful applicant will work under the supervision of the Emmanuel Lutheran Fellowship Chairperson, assisting the Church Council, Pastor and congregational members as required and working collaboratively with volunteers, mission partners and others to help the congregation achieve our vision of ‘Transforming lives by sharing God’s love and acceptance every day’.
Key Responsibilities:
1. General administration support:
Provide professional administrative support
Read and respond to emails, phone calls and correspondence
Undertake filing, compliance tasks, archiving, and general organization,
Produce a weekly digital communication (Fellowship News) informing members of upcoming events/activities and other relevant information
Promote upcoming events/activities and highlights of past activities on social network platforms
Support the development of weekly worship materials including PowerPoint slides (as needed)
2. Coordinating volunteer services
Prepare rosters for worship and other activities
Support the planning and organisation of church ministry, mission and fellowship events
Provide administration support to home groups
Maintain volunteer records
Support the training of volunteers
3. Promoting ELF events and activities:
Advertise all events/activities of the congregations on multiple platforms/avenues
Support the use of social media by other members as appropriate
Maintain and publish an online future calendar of events
Develop and maintain visitor welcome packs
4. Maintaining congregational records:
Ensure helpful processes are in place for new members, transfers, baptisms, confirmation, first-communion, etc.
Provide reports to support LCA, Church Council and congregational requirements as requested
Encourage members to maintain and update the information they have provided
Create regular updates of the membership contact directory
5. Completing LCA statistical returns and keeping LAMP entries current.
6. Ensuring copyright licences are acquired and current, records kept and CCLI reports submitted.
7. Being the initial contact person for Emmanuel Lutheran Fellowship internally, externally, and establishing and
maintaining quality relationships and networks. This may include:
handling enquiries during Sunday worship
social activity coordination
negotiated assistance to the Treasurer & Secretary
building supportive relationships with Concordia Lutheran College and other organisations the congregation supports
8. Operating as the congregation’s Safety Management Coordinator (training provided):
ensure appropriate risk management policies and procedures are in place on behalf of the congregation
ensure congregation members are made aware of their responsibilities for ongoing Professional Standards training
organise the delivery of relevant Professional Standards training
maintain a Blue Card Register
maintain a First-Aid Register
Personal Attributes Required:
o Ability to work enthusiastically and effectively in a Christian setting, upholding key Lutheran beliefs and values
o Excellent verbal and written communication skills
o Ability to maintain confidentiality and exercise discretion in all matters
o Ability to work with minimal supervision
o Ability to use initiative to achieve tasks
o Attention to detail; is reliable and punctual
o Ability to work as part of a team and support the Lutheran ethos within the congregation.
Professional Skills Required:
o A Certificate III or IV, in Administration (not essential, but advantageous).
o Strong computer skills and experience with Microsoft products (Word, Excel, PowerPoint, Outlook etc.), social media platforms (YouTube, Facebook, Twitter, Instagram etc.) and web-based systems
o Ability to think systematically and follow through office processes and procedures
o Ability to supervise and train volunteers and other people as required
o Experience and capability in producing promotional material, web content and social media posts
o Experience or willingness to learn how to update the Emmanuel Lutheran Fellowship website through the web-based content management system
Professional Requirements of the Role:
o Hold current Positive Blue Card notice during the employment tenure
o Complete the LCA Professional Standards training (within 3-months of appointment), and any necessary refreshers thereafter
Professional Development:
o The Administration Officer will be encouraged to engage in regular professional development/training courses to stimulate knowledge and skills relevant to the role
Contacts/Working Relationship:
o The Administration Officer will be required to work and communicate with:
Church councils, committees, parishes, congregations, districts and organisations of the LCA
Pastors and Lay workers
Office bearers, staff and volunteers
External organisations
Partner churches
Visitors and contractors
o The Administration Officer is not required to be an active member of the Emmanuel Lutheran Fellowship congregation.
Salary and Conditions:
o The Administration Officer will be employed on a part-time basis (0.4 FTE) under the Clerks Private Sector Award 2010, Level 3 – 5 depending on expertise and qualifications.
o Some work and travel outside of normal work hours may be required.
General terms of appointment:
o A probationary period of six months will apply, to assess the applicant’s suitability for the position. This period allows for monitoring and evaluation of the employee's performance and a decision on whether to offer ongoing employment.
o It is preferred but not essential that the appointee be a member of the Lutheran Church of Australia.
o The successful applicant must be able and willing to work in the environment of the Lutheran Church of Australia.
o Agree to abide by all Lutheran Church of Australia policies as applicable.
o Observe and comply with the Lutheran Church of Australia Work, Health & Safety policies and procedures.
