Beyond Blindness, a not-for-profit charity organisation supporting over 600 members across South Australia, is seeking a motivated and versatile Administration Officer to join our team. As a niche provider of services for people who are blind, we offer recreational activities, financial assistance, and more.

Beyond Blindness is looking for an Administration Officer who is meticulous and proven self-starter with exemplary people and organisation skills to join our close-knit team. The primary purpose of the role is providing administrative support accross various functions, including membership services, accounts management, building maintenance coordination, operational support and IT troubleshooting.

Reporting to the Manager, this role requires a proactive, organised individual who can manage multiple responsibilities while maintaining excellent relationships with members, volunteers and team members.

Selection Criteria

Essential Qualifications and Experience

  • Certificate 3 in Business Administration or relevant qualifications
  • Prior experience in accounts, administration, or a related role.
  • Basic knowledge of IT troubleshooting and support.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.).
  • Experience using financial software, preferably XERO or MYOB.
  • Strong organizational and problem-solving skills.
  • Demonstrated relationship-building skills, with patience, empathy, and accountability.
  • Ability to manage multiple responsibilities and meet deadlines.
  • Valid Driver’s licence
  • Self-starter with a can-do attitude.

Desirable Qualifications and Experience

  • Knowledge of building maintenance processes.
  • Experience in working with volunteers or coordinating volunteer activities.

  • Ability to work both independently and collaboratively in a team environment.
  • Capacity to handle sensitive and confidential information with discretion.

Key Responsibilities:

Membership Services and Subsidies

  • Respond to member inquiries, providing exceptional service.
  • Process membership applications, renewals, and subsidies.
  • Maintain accurate member records and produce membership reports as needed.
  • Prepare and distribute member communications via email and the website.

Volunteer Coordination and Small Jobs

  • Coordinate small job requests with volunteers, ensuring timely completion.

Accounts and Financial Support

  • Process invoices, payments, and reconciliations.
  • Assist with budgeting and financial reporting.
  • Maintain accurate financial records.

Building Maintenance

  • Organize and oversee building maintenance tasks.
  • Liaise with contractors and ensure timely and cost-effective project completion.

Operational and Administrative Support

  • Assist with daily administrative tasks and team projects.
  • Identify and suggest process improvements to enhance efficiency.
  • Support membership campaigns to retain and grow the member base.
  • Adhoc tasks as required.

IT Support

  • Provide basic IT troubleshooting for staff.
  • Coordinate with external IT providers for advanced issues.
  • Maintain and update IT systems and equipment.
