Role Overview

We are seeking a highly organised and proactive Project Administrator to join our growing team. This role plays a critical part in ensuring the successful planning, execution, and monitoring of various projects. You will be responsible for coordinating project activities, maintaining documentation, and supporting both internal teams and external stakeholders.

Key Responsibilities

Coordinate and support the administration of contracts, programs, and projects.

Manage project variations, work orders, and maintain accurate records and documentation.

Liaise with project managers, site staff, and clients to ensure project milestones and deliverables are met.

Monitor project compliance and contribute to continuous improvement initiatives.

Manage onboarding documentation and ensure WHS and fitness-for-work requirements are met.

Ensure accurate and timely filing of all project-related paperwork.

Collaborate with recruitment, logistics, and operations teams for smooth service delivery.

Maintain internal databases, manage project inboxes, and track client compliance (e.g., e-learning, medical checks).

Prepare regular reports on project performance and compliance for management review.

Build and maintain positive relationships with subcontractors, clients, and team members.

Assist in the preparation and review of tenders, business proposals, and internal communications.

Coordinate office accommodation changes and support logistics for relocations or new setups.

Collect and analyse project data to inform decision-making and enhance project outcomes.

Experience and Qualifications

A minimum of 1 year of experience as a Project Administrator, preferably within logistics, infrastructure, or facility management.

Bachelor’s degree or higher in business administration, project management, or a related field (required).

Excellent organisational skills and strong attention to detail.

Proficient in written and verbal communication.

Ability to manage multiple priorities and meet deadlines in a fast-paced environment.

Demonstrated capacity to work independently and within multidisciplinary teams.
