THE OPPORTUNITY

The Secretariat Support Officer is responsible for providing high-quality administrative and logistical support to governance bodies, committees, and working groups. This role ensures the efficient operation of meetings by coordinating agendas, minutes, action tracking, and correspondence.

The Secretariat Support Officer also plays a key role in facilitating communication between stakeholders and maintaining accurate records.

ABOUT THE ROLE

Reporting to the Corporate Services Lead, the Secretariat Support Officer position is accountable for:

Meeting Coordination; including scheduling meetings, preparation of agendas, minute taking and ensuring actions are recorded and followed up on.

Administrative Support; including management of correspondence, maintaining accurate records and ensuring compliance with organisation policies, as well as providing secretarial support where required.

Stakeholder Engagement; acting as a key point of contact for committee members and stakeholders, facilitating effective communication between internal and external parties and supporting the implementation of governance frameworks and policies.

Compliance and Record-Keeping; ensuring meeting records comply with organisational policies and regulatory requirements, managing confidential and sensitive information with discretion and supporting audits with accurate documentation

General; working respectably and inclusively with Aboriginal and Torres Strait Islander Peoples and people from diverse backgrounds, contribute to a positive workplace culture by working collaboratively and purposefully across the organisation and maintain a proactive approach to work health and safety.

WE'D LOVE TO CHAT IF YOU HAVE

A Certificate IV or higher qualification in governance, secretariat support, or compliance, or an equivalent combination of relevant education, training, and experience

Strong organisational and time management skills with the ability to manage multiple priorities

Excellent verbal and written communication skills, with attention to detail

Experience in secretariat or administrative support roles

Proficiency in Microsoft Office Suite and document management systems

Ability to work independently and as part of a team

High level of discretion and confidentiality

Experience supporting governance bodies, committees, or executive teams

Knowledge of governance processes and regulatory requirements would be desirable

Experience with virtual meeting platforms such as Zoom or Microsoft Teams would be desirable
