Position Overview
We are looking for a highly organised and proactive Operations & Office Administrator to support the day-to-day operations of our business. This office-based role is essential to scheduling, estimating, invoicing, procurement, and team coordination. You will work closely with our ground team and management to ensure smooth, efficient project delivery.
Key Responsibilities
• Daily scheduling and check-ins with the ground caulking team.
• Stock control and management of warehouse materials and orders.
• Creating estimations for both small jobs and large packages.
• Invoicing for completed works including Tradecloud updates and reconciliation.
• Client communication regarding job status, quotes, and invoices.
• Payroll timesheet approvals and subcontractor invoice processing.
• Managing onboarding of new clients, including rate sheets and metre rate setup.
• Updating and managing project data, inductions, and safety documentation (e.g. Hammertech, SWMS).
• Monitoring project progress, debt collection, and monthly reporting.
• Coordinating licensing and compliance checks for field staff.
Skills and Experience Required
• Experience in administration or operations within construction or trade services.
• Proven ability to manage schedules, estimate jobs, and follow through with invoicing.
• High attention to detail and excellent organisational skills.
• Strong communication and interpersonal abilities.
• Ability to work independently and handle multiple priorities.
• Experience with platforms such as Tradecloud and Hammertech (preferred).
• Solid understanding of project workflow and client expectations in the building industry.
