About The Role
Join the tight-knit team at Impact as a full-time Program Manager. In this role, you will be responsible for providing critical administrative support to ensure the smooth operation of our learning and development programs.
Program Managers need to be proactive with strong organisation skills in order to manage multiple clients and projects simultaneously. The ability to build relationships both internally and externally is essential.
This is a rewarding position, doing meaningful work, and involves working closely with very talented and caring team members.
The candidate will be based in Sydney, preferably in the Northern Beaches or North Shore area close to our Freshwater, NSW, office. This role offers a mix of work-from-home and office-based arrangements, providing you with flexibility and a great work-life balance.
Responsibilities
Collaborate with internal teams and clients to plan and achieve project milestones and key deliverables.
Develop and maintain comprehensive project plans.
Foster strong relationships with all stakeholders, occasionally serving as the primary point of contact.
Conduct regular project team check-ins and manage meeting agendas.
Program Logistics
Administration and Production: Manage the administration, production, and distribution of all program materials (print or digital), ensuring they are proofed, edited, and formatted to a high standard.
Face-to-Face Program Logistics: Oversee logistics for in-person programs, including liaising with clients, Impact Account Managers, and venues to ensure a smooth experience for all participants and staff. This involves scheduling dates, booking staff flights and accommodation, and organising venue AV and room setup.
On-Site Support: Provide on-site support as needed to ensure the smooth running of programs.
Virtual Program Logistics: Manage logistics for virtual programs, including setting up web platforms (Zoom, Teams, etc.) and understanding the flow and needs to support facilitators, technical producers, and client IT teams.
Large Project Roll-Outs: Create and manage processes for large project implementations.
Technical Support: Provide technical support for virtual programs as needed.
Internal Staff Training: Conduct internal training sessions and stay updated on IT platform changes.
Post-Program Follow-Up: Manage follow-up activities, including consolidating feedback surveys, preparing evaluation reports, conducting program reviews, and following up with clients.
Resource Management
Staffing: scheduling, contracting, and liaising with program staff
Project equipment: procurement, management, deployment and repair/replacement of all project/program materials

Fluent in English.

Technical Proficiency: Highly skilled with web-based tools (e.g., MS 365 apps, Survey Monkey, Vimeo, Zoom, Microsoft Teams, Microsoft Forms).
Microsoft Office: Proficient in Microsoft PowerPoint, Word, and Excel, able to produce documents to specific standards, prepare high-quality presentations, use databases effectively, and generate statistics and graphs.
