Your Opportunity
As the Design Standards and Post Occupancy Evaluation Support Officer, you will provide assistance in developing, coordinating, and contributing to the review of the Department of Education Design Standards and support key activities relating to Post Occupancy Evaluations (POE). The role requires both administrative and technical support, ensuring that processes related to the Design Standards and POE are carried out smoothly and efficiently, adhering to established guidelines and frameworks. Additionally, the role supports stakeholder engagement and contributes to continuous improvement initiatives.
The Design Standards and Post Occupancy Evaluation Support Officer reports to the Manager, Design Standards, in the Service Strategy team.
Qualifications and Experience
Technical Background:
Although not mandatory, qualifications or industry experience in infrastructure planning, strategic policy, or similar will be highly regarded.
Demonstrated interest in the domain of building and infrastructure, alongside a foundational understanding of relevant design standards, codes, and legislation.
Information Technology Proficiency:
Confidence in the use of Microsoft Excel, PowerPoint, OneNote, PowerBI, and Microsoft Teams. Experience with tools such as the Department of Education Content Manager and Microsoft Survey Manager (or similar) is highly regarded.
Basic data collection and analysis skills.
Communication Skills:
Exceptional written and verbal communication abilities.
A track record of producing well-structured reports, briefing notes, minutes, and other forms of correspondence.
Proven experience in effectively liaising with a range of stakeholders.
Ability to work collaboratively in a team environment.
Your Role and Accountabilities

Specific responsibilities as the Design Standards and Post Occupancy Evaluation Support Officer include:
Design Standards Support:
Operate as the secretariat for the Design Standard Working Group, scheduling meetings, and preparing agendas and minutes.
Maintain the myProjects system's variations and issues register, ensuring accuracy and currency.
Conduct pertinent research on technical matters related to design standards and provide summarised outcomes.
Consult and liaise with internal stakeholder groups on design standards concerns affecting various departmental functions.
Assist in the collation, review, and updating of design standards documentation.
Draft communications, presentations, and summary reports.
Ensure accurate record-keeping and document control.
Support general team administration and reporting activities.
Post Occupancy Evaluation (POE) Support:
Administer Survey Manager tasks such as developing, updating, and refining survey instruments, distributing surveys, and extracting data for analysis.
Organise and manage the timetabling of POE activities, including scheduling site visits and stakeholder meetings.
Actively follow up with respondents to optimise survey response rates.
Support data collection, analysis, and reporting on POE outcomes, including assistance with documentation of site visits, such as taking photographs and making notes.
Compile POE recommendations, streamline categorisation, and support the progression of actions to be approved.
Maintain the myProjects system's Lessons Learned register identified through POE activities, ensuring accuracy and currency.
