About the Role:
Safelane is seeking a reliable and experienced Operations Manager to play a crucial role in the efficient and compliant operation of our NDIS services. This multifaceted position requires a proactive individual with excellent communication, organizational, and problem-solving skills, coupled with a strong understanding of the NDIS framework.
Initially, your responsibilities will encompass managing front-line communications, ensuring meticulous document management, conducting essential client home visits for risk assessments, and overseeing the compliance aspects of our business. As the workload evolves, this role will also expand to include the management of staff rostering.
Key Responsibilities:
Front-Line Communication:
Answer and manage incoming calls, including new inquiries and general enquiries, in a professional and timely manner.
Provide information about Safelane's services and processes to potential clients and stakeholders.
Accurately record and direct inquiries as needed.
Document Management:
Maintain and organize all staff and client-related documents, ensuring accuracy, confidentiality, and compliance with relevant regulations.
Implement and maintain efficient electronic and physical filing systems.
Ensure all documentation is up-to-date and easily accessible.
Client Home Visits & Risk Assessments:
Conduct thorough risk assessments in clients' homes to identify potential hazards and develop appropriate risk management plans.
Document findings accurately and communicate recommendations effectively.
Maintain a strong understanding of safety protocols and NDIS requirements related to client environments.
Compliance Management:
Assist in ensuring the business operates in full compliance with all relevant NDIS Quality and Safeguarding Framework requirements, policies, and procedures.
Maintain up-to-date knowledge of NDIS regulations and guidelines.
Contribute to the development and implementation of internal policies and procedures.
Assist with audit preparation and follow-up actions.
(Future Responsibility) Staff Rostering:
Develop and manage staff rosters to ensure appropriate staffing levels to meet client needs.
Communicate effectively with both clients and support staff regarding scheduling.
Address and resolve any rostering conflicts or issues in a timely manner.
Maintain accurate records of staff availability and client schedules.
Skills and Experience:
Proven experience working within the NDIS industry is essential.
Demonstrated experience in an operational or administrative role with a focus on compliance and customer service.
Excellent communication skills, both written and verbal, with a professional telephone manner.
Strong organizational skills and meticulous attention to detail.
Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
Proficiency in using computer 1 systems and software, including Microsoft Office
Experience conducting risk assessments is highly desirable.
Knowledge of NDIS Quality and Safeguarding Framework.
Experience with staff rostering software or manual rostering processes (desirable for future responsibilities).
A proactive and solutions-oriented approach.
Ability to work independently and as part of a team.
Valid driver's license and access to a reliable vehicle for client home visits.
Relevant qualifications in disability services, business administration, or a related field (desirable).
