Are you genuinely thrilled about new opportunities and eager to join a dynamic team? a2z Health Group, a fast-growing Occupational Therapy practice, is looking for a new Receptionist to join our team at our Dandenong clinic!
Our team currently consists of Physiotherapists, Occupational Therapists, a Dietitian, an Exercise Physiologist, and administration staff who are all focused on exceptional customer service. Due to an increase in therapists and our continuous growth, we are looking for a friendly and passionate Administrative Assistant to join our highly collaborative team. This is a casual position with a minimum of 3 shifts a week (8:30 am to 5:00 pm) starting in May/June 2025, with potential for part-time.
Skills & Experience:
· Minimum 1-year Allied Health Reception experience
· Understanding of NDIS
· Understanding of Occupational Therapy (preferable)
· Strong customer service focus with a mature approach to client interaction
· Ability to provide exceptional customer service and ensure clinic processes and procedures are maintained at a high level
· A positive, highly organised, and proactive attitude
· Ability to handle phone calls, individual and multiple bookings
· Ability to efficiently multi-task, problem-solve, and work both independently and as part of a team
· Proficient computer skills (Microsoft Outlook, Adobe)
· Excellent oral, written, and communication skills
· Excellent attention to detail
· Warm and friendly demeanor with the ability to quickly and effectively build rapport with people of varied backgrounds, abilities, and cultures
· A genuine passion and interest in working long-term in allied health and willingness to grow within the company is highly regarded
A Snapshot of Your Role: As the initial point of contact for our clients, you will offer assistance and friendly support throughout their journey, from their first inquiry to the final invoicing. You will provide a professional and welcoming face to our practice while helping to ensure everything runs smoothly for both families and therapists.
Duties Include:
· Greeting clients, welcoming, and directing them appropriately
· Supporting therapists with new referrals, appointment booking, and calendar management
· Managing and inputting NDIS Service Agreements
· Data entry and maintenance of a client database
· Liaising with external stakeholders and third parties
· Monitoring and actioning Occupational Therapy administration email
· Answering and managing incoming telephone calls
· Basic bookkeeping, invoicing, and account management
· Utilising medical practice software (Splose)
· General housekeeping and inventory management
· Other ad hoc administrative tasks as required
Essential Requirements:
· Working with Children's Check
· NDIS Worker Screening Check or willingness to apply (required prior to commencement of the role)
