Maintenance Administrator – Site-Based Workshop
(Haulage Road Trains)
Roster: 2:1 FIFO from Perth or WA regional hubs

A well-established, privately-owned mining haulage company with operations across Western Australia is currently seeking a dedicated and organised Maintenance Administrator to support its on-site workshop. Working on a 2:1 FIFO roster, the successful candidate will manage the support and maintenance of a large fleet of Mining Haulage Road Trains.
This is a hands-on, site-based administrative role focused on ensuring all maintenance activities are planned, tracked, and documented to meet operational and compliance standards. The position plays a crucial role in minimising downtime, maintaining equipment availability, and supporting a safe and efficient workshop environment.
Key Responsibilities
Oversee and manage preventative and reactive maintenance schedules for trucks, trailers, and ancillary equipment.
Maintain accurate records of work orders, service histories, and job cards using MEX software.
Liaise daily with workshop supervisors, leading hands, and mechanics to ensure tasks are prioritised and resourced appropriately.
Track vehicle defect reports, ensure follow-ups are scheduled, and maintain compliance with internal maintenance standards.
Prepare reports detailing equipment status, maintenance KPIs, and downtime analysis for internal review.
Coordinate and schedule statutory inspections, major component change-outs, and rebuilds in accordance with OEM recommendations and internal policies.
Track and reconcile parts usage, and collaborate with the procurement team to maintain stock levels and reduce downtime caused by unavailable components.
Assist with workshop administration duties, including filing of compliance documents, warranty claims, contractor paperwork, and timesheet entries.
Support safety audits by ensuring all documentation is up-to-date and accessible, including pre-start checklists, risk assessments, and service logs.
Follow up with external vendors and contractors on repairs or outsourced maintenance tasks, ensuring timelines and standards are met.
Identify opportunities to streamline maintenance workflows, reduce paperwork bottlenecks, and improve efficiency through automation and better use of MEX reporting tools.
Skills & Experience
Demonstrated experience in a workshop, maintenance, or fleet administration role within the mining, transport, or heavy equipment sector.
Proficient in MEX or similar Computerised Maintenance Management Systems (CMMS).
Good understanding of mechanical workshop operations, including scheduling of tasks, fleet compliance, and contractor coordination.
Familiarity with road train and heavy haulage equipment, including trailers and drivetrain systems.
Strong attention to detail and a commitment to data accuracy and compliance.
Excellent communication and interpersonal skills to work closely with both workshop staff and site management.
Comfortable working in a FIFO workshop environment with changing priorities and operational needs.
