The Role

We are seeking a friendly, professional, and highly organized Office Administrator/Receptionist with strong communication skills and a proactive attitude. The ideal candidate will have 2+ years of experience in administration or reception, preferably within a training or RTO environment. This role is essential to ensuring the smooth day-to-day operations of the front office and providing a warm and efficient first point of contact for all clients, students, and staff.

You will be responsible for delivering exceptional customer service, managing front-desk duties, and supporting administrative processes that align with compliance and organizational standards.

Duties and Responsibilities:

Document Print Control: Manage and keep track of the latest revision of training materials, update with master copies for daily administrative operational use.

Training Material Preparation: Print and prepare training compliant materials as needed.

Quality Control and Archiving: Archive and perform quality control checks on training packs upon completion when submitted by trainers, ensuring compliance and accuracy.

Reception Duties: Exhibit an exceptional phone manner that is pleasant, professional, and welcoming.

Customer Service: Provide outstanding customer service to clients arriving in reception.

Student Inquiry Response: Respond to student inquiries via phone, email, and in-person, ensuring a high level of customer service.

Student Enrolment Support: Assist with online and face-to-face student enrollments and support the student enrolment process by preparing and maintaining accurate records.

Administrative Support: Offer administrative support to the Admin Team, including data entry, filing, and document management.

Process Improvement: Collaborate with the team to identify opportunities for continuous improvement in administrative processes.

Qualifications & Skills:

Minimum 2 years’ experience in an administrative or receptionist role (experience in a training or RTO environment highly regarded)

Strong interpersonal and communication skills with a professional phone manner

High level of organisation and attention to detail

Proficiency in Microsoft Office (Word, Outlook, Excel)

Ability to multitask and work effectively in a fast-paced environment

Experience using aXcelerate or similar Student Management System preferred but not mandatory

A proactive, team-oriented attitude with a willingness to learn and adapt

Understanding of RTO standards and compliance (desirable)
