About the Company
Viva Commercial is a respected and growing organisation within the construction and property industry, known for delivering high-quality commercial projects across Melbourne. As the business continues to expand, we are seeking a professional and detail-oriented Administration Assistant to provide critical support to the Director and team to assist in the coordination of operational and project-related activities.
This position offers a unique opportunity to be part of a high-performing team, with exposure to both executive-level support and project administration.
Key Responsibilities:
Executive Support
- Manage the Director’s calendar, travel arrangements, and appointments
- Prepare high-quality correspondence, reports, presentations, meeting agendas, and minutes
- Monitor and prioritise incoming communications, including drafting responses as required
- Maintain confidentiality at all times when handling sensitive information
Operational Coordination
- Track project deadlines, milestones, and deliverables
- Coordinate meetings, site visits, and key stakeholder engagements
- Maintain organised project files, documentation, and templates
- Manage the company’s social media platforms with professionalism and consistency
Communication & Liaison
- Serve as a key point of contact between the Director and internal/external stakeholders
- Draft and distribute internal communications and support the preparation of tenders and presentations
- Assist with client and consultant engagement materials
Reporting & Administration
- Support budget tracking, invoice approvals, and financial report preparation
- Maintain compliance documentation, registers, and company records
- Assist in preparing project bids and business development submissions
General Administrative Support
- Manage office supplies and operational needs
- Assist in planning and coordinating internal events, meetings, and workshops
- Perform general administrative tasks to support business goals
Skills and Experience Required
- Minimum 2–3 years’ experience in an administrative or executive support role
- Previous experience in the construction or property industry is desirable
- Exceptional organisational and time-management skills
- Professional written and verbal communication skills
- Proficiency in Microsoft Office Suite; social media management experience is advantageous
- High attention to detail and ability to work autonomously
