Located in the heart of Melbourne’s CBD, our hotel offers a range of event spaces designed to host a variety of private and corporate functions, from intimate gatherings to large-scale conferences. We are seeking a dynamic and customer-focused Part-Time Event Sales Coordinator to join our team and play a key role in delivering outstanding event experiences for our clients with a focus on Mister Munro restaurant and its private dining rooms.
Job Overview:
As a Part-Time Event Sales Coordinator, you will be responsible for overseeing the selling and planning of events held in our hotel’s restaurant and private event rooms. You will manage the sales process from initial client inquiry through to event planning, ensuring each event runs smoothly. In addition, you will provide administrative support to the Conference and Events Sales Manager, assisting with tasks related to event planning and coordination.
Key Responsibilities:
- Client Relationship Management: Maintain a professional and friendly relationship with clients, ensuring their needs are met and expectations exceeded. Develop relationships and build networks of clients.
- Sales Process Management: Handle all aspects of the sales process for events, including initial inquiry, quoting, site visit, contract preparation, and event coordination. Maximise opportunities for new business and revenue.
- Event Planning Assistance: Work closely with clients to assist in planning and executing their events, ensuring all logistical details are in place. Participate in regular BEO meetings with operations and Chef to ensure a seamless event. Collaborate with Operations and Food and Beverage team to ensure effective and efficient implementation of BEOs.
- Administrative Support: Provide general administrative support to the Conference and Events Sales Manager, including managing documentation, updating event records, and assisting with invoicing and payment processing.
- On-site Event Support when necessary: Assist during events to ensure seamless execution, providing on-site coordination and troubleshooting when necessary.
- Reporting & Communication: Regularly update the Conference and Events Sales Manager on event progress and sales activities.
- Collaboration: Work closely with other hotel departments (kitchen, front desk, housekeeping, etc.) to ensure all aspects of events are fully coordinated.
Skills & Qualifications:
- Previous experience in hospitality operations is required.
- Previous experience in event coordination, hospitality, or sales is preferred.
- Strong organizational skills with the ability to manage multiple tasks simultaneously.
- Excellent communication and interpersonal skills, with a customer-centric approach.
- Attention to detail and problem-solving skills.
- Ability to work both independently and as part of a team.
- Ability to work flexible hours
