Position Brief

We are seeking a proactive and detail-oriented Project Coordinator to join our Darwin team. This role is crucial in supporting project execution by managing scheduling, documentation, procurement, logistics, and communication for the manufacturing and installation of precast components in civil and infrastructure projects. You will play a vital part in ensuring the smooth, efficient, and compliant delivery of projects through hands-on coordination, clear communication, and taking ownership of key processes.

Key Responsibilities

Scheduling & Communication: Assist the Project Manager in developing and maintaining project schedules. Track milestones, communicate schedule releases clearly to internal teams and external stakeholders, and ensure alignment across all parties.

Documentation Management & Compliance: Take ownership of the preparation, submission, tracking, validation, and management of critical project documentation. This includes:

Contracts, blueprints, meeting minutes, and project reports.

Tracking and managing Requests for Information (RFIs).

Monitoring and reporting on the status of technical drawings.

Managing standard compliance documents: Technical Data Sheets (TDS), Safety Data Sheets (SDS), Safe Work Method Statements (SWMS), and HSE registers.

Resource & Logistics Coordination: Coordinate labour, materials, equipment, and logistics for efficient project delivery. Liaise effectively with subcontractors, suppliers, and internal teams (manufacturing, engineering, logistics) regarding procurement needs, deliveries, and installations. Actively track procurement status.

Data Collection & Reporting: Track essential project data, including timeframes, milestones, costs, RFI status, and drawing progress. Provide regular, accurate updates and reports to the Project Manager.

Stakeholder Communication: Facilitate clear and consistent communication between internal departments and external stakeholders (clients, suppliers, contractors) to ensure smooth project flow and address queries promptly.

Proposal & Tender Assistance: When required, assist in the preparation of project proposals and tender documents, contributing to successful bids.

Administrative Support: Provide general administrative assistance to the project team as needed, including meeting coordination and record-keeping.

About You (Skills, Experience & Attributes)

Technical Aptitude: You possess a strong ability to understand technical concepts related to construction or manufacturing.

Relevant Background: You have one of the following:

A background in Engineering (Civil, Structural, Mechanical, or similar).

A relevant Trade background.

Demonstrated experience in project coordination/delivery within the construction or manufacturing sectors.

Experience: Experience in precast concrete manufacturing or installation is beneficial but not essential.

Communication & Collaboration: You have excellent verbal and written communication skills and a proven ability to collaborate effectively with diverse teams and stakeholders. You understand that progress is best achieved through planning and working together.

Planning & Organisation: You can form clear plans for project delivery, manage competing priorities, and maintain meticulous records.

Ownership & Initiative: You work with autonomy and confidence (following initial guidance), take ownership of your responsibilities, and proactively address potential issues.
