Job Summary:

Our client is seeking a proactive and detail-oriented Executive Assistant to support the Executive Director and assist with operations at a growing non-profit organisation. This full-time position offers flexibility with the option to work from home a few days per week. The ideal candidate will have a background in administrative roles, operations, or law, and a strong commitment to social justice. If you're passionate about human rights, democratic freedoms, and supporting high-impact litigation efforts, this role provides an exciting opportunity to contribute to meaningful social change.

Key Duties:

Executive Director Coordination (55%)

  • Manage the Executive Director's calendar, inbox, and travel arrangements.
  • Coordinate internal and external meetings, including preparation of agendas, documentation, logistics, and follow-up.
  • Monitor and resolve email inquiries efficiently.
  • Provide general administrative support to all Directors.

Operations Support (45%)

  • Serve as the primary point of contact for the organisation.
  • Maintain internal systems, including digital filing, governance records, and staff databases.
  • Coordinate travel, logistics, and communications for internal and external events and projects.
  • Oversee office administration, both virtually and in-office.

Human Resources Support

  • Coordinate recruitment processes, including posting job ads and arranging interview logistics.
  • Support onboarding for new staff, volunteers, and provide pastoral care.
  • Manage administrative tasks related to HR, as directed by the Head of Operations.

Finance Administration

  • Process invoices, reimbursements, and team expenses through Xero.
  • Work with bookkeepers/accountants to ensure payroll, EOFY, and salary packaging accuracy.
  • Provide administrative support for finance-related tasks as directed by the Head of Operations.

To Be Successful, You Will Have:

  • Attention to Detail: You have a keen eye for detail and are meticulous about tasks, whether it's proofreading documents or managing complex schedules.
  • Positive Attitude: You bring enthusiasm and a solutions-oriented approach to every task, maintaining a calm and efficient attitude even when faced with challenges.
  • Organisational Skills: You have experience managing multiple tasks simultaneously, prioritizing effectively, and anticipating potential issues to keep operations running smoothly.
  • Communication & Computer Skills: You excel at communicating complex information clearly and concisely, both in writing and verbally. You're also comfortable with tools like Google Drive, Docs, Gmail, and Calendar.
  • Commitment to Social Justice: A deep belief in social justice, with an interest in working alongside communities and movements fighting systemic injustice.

Preferred Experience (Not Required but a Plus):

  • Experience in law or policy-related roles.
  • Background in legal or corporate workplaces.
  • Familiarity with Xero and Nationbuilder.
