Join Our Client Care Team as a Casual Receptionist
Excelsis Psychology is a child, adolescent, and family psychology practice with clinics in Joondalup and West Leederville. We are seeking a warm, professional, and organised Casual Receptionist (Client Care Officer) to support our Client Care Team across one or both locations.
This casual position would suit someone seeking flexible hours in a supportive team environment. Applicants must specify which location(s) they are available to work at in their application.
Key Responsibilities - As a valued member of our Client Care Team, your role will include:
Delivering exceptional customer service at the front desk, over the phone, and via email in a warm, professional manner
Managing client appointment bookings, cancellations, and waitlists using our practice management software (Zanda)
Maintaining and updating client records with a high level of confidentiality and attention to detail
Processing EFTPOS payments, Medicare rebates, and generating invoices for third-party and private clients
Supporting the clinical team with general administrative duties such as scanning, faxing, setting up assessments, filing, preparing rooms, and managing reception supplies
Monitoring outstanding invoices and supporting end-of-day reconciliation processes
Prioritising and managing administrative tasks using our internal workflow system (MeisterTask)
Handling new client enquiries and working closely with our scheduling team to ensure accurate triage and follow-up processes are followed
Contributing to the smooth daily operations of the clinic by fostering a calm, efficient, and welcoming environment for all clients and staff
About You
A minimum of 1-3 years’ experience in reception or administrative support (healthcare experience preferred)
Exceptional communication and interpersonal skills
High attention to detail, strong time management, and reliability
Competence with Microsoft Office and confidence learning new systems
A genuine interest in supporting mental health services
Ability to work both independently and as part of a collaborative team
A current or willing-to-obtain Working with Children Check (WA)
