We are a global fintech startup, disrupting the finance and technology sectors with innovative solutions. We are looking for a Team Assistant to support our team in this exciting phase of growth.

This is a full-time, onsite role based in our Melbourne office.

Role Overview

As the Team Assistant, you will support the group CEO and the team. You will have the capability of organising schedules, managing communications and ensuring seamless operations. You will optimise the team's productivity, through administrative and operational support across various functions.

Responsibilities

• Calendar: Assist with daily calendar management for the CEO and the team. You will schedule meetings and appointments with the ability to ensure meetings are scheduled appropriately.

• Email Correspondence: Respond to emails on behalf of the CEO, drafting communications and ensuring timely follow-ups on important matters.

• Travel: Coordinate travel arrangements, including flights, accommodation, and transportation.

• Meetings: Be the first point of contact with clients, attend meetings, take minutes, track action points, and follow up on tasks to ensure deadlines are met.

• Administrative Support: Handle day-to-day office administration tasks and assist in various other administrative duties.

• Document Management: Organise internal documents, digital folder structures, promotional materials and confidential information.

• Liaison: Act as the point of contact between the leadership team and other departments, facilitating communication and ensuring the swift resolution of requests.

Requirements

• Attention to Detail: Organisational skills and a keen eye for detail.

• Communication Skills: Good written and verbal communication, with a professional demeanor.

• Experience: A minimum of 2 years of experience in a similar administrative support role.

• Tech skills: Proficient in MS Office Suite, especially Excel and Outlook, Teams, Zoom, Jira. Familiarity with other software tools is a plus.

• Adaptability: Ability to adapt in a fast-paced, dynamic work environment while handling multiple tasks effectively.

• Ability to work in a small team with tight timelines

Skills and Experience:

• Industry Knowledge: Prior experience in, or an interest in, the financial services sector.

• Project Management Tools: Familiarity with advanced scheduling and project management software (e.g., Jira).

• Confidentiality: Proven ability to handle sensitive information with discretion.

You will be the go-to person for organising schedules, managing communications, coordinating logistics, and ensuring smooth operations. You will help optimise the team's productivity, offering administrative and operational support across various functions.

This is a full-time, onsite role based in our Melbourne office.
