About the Role
As the Personal Assistant to the Chief Investment Officer (CIO) & Investment Team Assistant, your role will be multifaceted, providing high-level administrative and personal support to the CIO while ensuring smooth operations for the broader investment team.
Your time will be split across:
- Personal Assistance (50%) – Managing the CIO’s personal and family-related matters
- Executive Assistance (20%) – Providing direct support to the CIO in a professional capacity
- Team Administration (30%) – Supporting the investment team with day-to-day operational needs
Key Responsibilities
Personal & Family Support
- Oversee personal diary and calendar management for the CIO
- Coordinate complex travel arrangements for the CIO and his family, including research, booking, and detailed itineraries
- Plan and manage personal and professional events for the CIO’s family
- Handle personal errands such as shopping, coordinating services, and gift arrangements
- Manage personal expenses and liaise with contractors and service providers for family properties
- Represent and support the CIO on philanthropy and community initiatives
Executive & Administrative Support
- Manage the CIO’s calendar, meetings, and travel arrangements
- Handle incoming communications, including emails, phone calls, and correspondence
- Prepare meeting agendas, take minutes, and follow up on action items
- Plan and coordinate team events, conferences, and activities
- Assist with expense reconciliation and credit card expense processing for the CIO and investment team
- Prepare reports, presentations, and other essential documents for the team
- Support office operations, including mail deliveries and managing office supplies
About You
To be successful in this role, you will bring:
- 5-7 years’ experience in business support within Financial Services or a similar Professional Services industry, with specific EA/PA experience
- Ability to handle confidential information with discretion
- Exceptional organisational and multitasking skills, with the ability to thrive in a fast-paced, ever-changing environment
- Strong problem-solving skills and a proactive approach
- Excellent written and verbal communication abilities
- High attention to detail and ability to anticipate needs
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with Teams and Google Suite
