We are seeking a proactive, highly organised, and customer-focused Operations & Customer Experience Coordinator to take over key administrative and customer service responsibilities across our Solar and Roofing divisions. You will be the go-to person for client communications, project coordination, and backend operations to ensure a seamless customer journey from start to finish.
Key ResponsibilitiesCustomer Service & Communications (Solar & Roofing)
Act as the primary point of contact for customers throughout the entire project lifecycle
Conduct welcome/onboarding calls and post-install satisfaction follow-ups
Handle inquiries, concerns, and complaints with professionalism and efficiency
Request and manage customer reviews and feedback
Follow up on outstanding payments in a timely and respectful manner
Sales Support & Trip Coordination
Plan and coordinate sales representative trips, including travel arrangements and schedules
Send detailed trip confirmations and itineraries to team members
Installer & Contractor Management
Onboard new installers and ensure all necessary documentation is collected
Review, analyse, and approve installer invoices accurately and promptly
Ensure timely payment to suppliers and contractors
Project Administration (Roofing)
Complete QBCC warranty insurance documentation
Manage jobs in the certifier portal, ensuring all required documentation is submitted and updated throughout the project
Order and track stock for roofing jobs
Requirements
Strong organisational and multitasking skills
Excellent communication and interpersonal abilities
High attention to detail and accuracy
Ability to work independently and prioritise tasks
Experience with customer service, project coordination, or administrative roles
Familiarity with invoicing, payment follow-ups, and working with contractors is a plus
Tech-savvy – comfortable with digital tools and software platforms
Nice to Have
Prior experience in the solar or roofing industry
Knowledge of QBCC requirements or certifier portals
Experience with Xero or other accounting platforms
