The Role:
The Executive Assistant & Office Administrator will provide high-level administrative support to the Senior Leadership Team while ensuring the smooth and efficient operation of an office of approximately 25 people. This varied role demands a high degree of confidentiality, professionalism, and organisational skills.
Key Responsibilities:
· Manage the schedules, calendars, and appointments for the Senior Leadership Team.
· Coordinate and organize meetings, including preparing agendas, taking minutes,
and following up on action items.
· Manage office supplies, equipment, and inventory, ensuring all resources are
well-stocked and maintained.
• Organise and coordinate office events, meetings, and team-building activities
· Assist with HR tasks such as onboarding new employees, maintaining employee records, and tracking leave balances
· Setting up new employee profiles and removing departing employees.
· Coordinating IT setup (email, NetSuite, ClickUp, etc).
· Arranging workspace, phone, and necessary equipment for new starters.
· Managing user access and permissions for company software
· Managing and reviewing the phone system set up
· Manage incoming and outgoing communication, including emails, phone calls, and mail.
· Managing all travel arrangements (flights, hotels, itineraries).
About You:
· Proven experience as an Executive Assistant, Office Administrator, or similar role.
· Strong organisational and time management skills with the ability to multitask effectively.
· High level of professionalism and the ability to handle confidential information.
· Excellent written and verbal communication skills.
· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and office management software.
· Basic understanding of HR processes and policies.
· Proactive, self-motivated, and capable of working independently.
· Reliable and trustworthy, with strong attention to detail.
· Approachable and adaptable, with strong interpersonal skills.
