Position Overview

We are seeking a highly organised and proactive Executive Assistant to join our team and support our Executive Team. In this pivotal role, you will ensure the smooth running of daily operations by providing administrative support, managing schedules, and coordinating communications. The Executive Assistant will work closely with the senior leadership team, assisting in a range of strategic and operational tasks to help drive our mission forward.

Key Responsibilities

  • Provide high-level administrative support to the Executive Team, including calendar management, meeting coordination, and travel arrangements.
  • Prepare and review internal and external communications, including reports, presentations, and correspondence.
  • Coordinate and organize executive meetings, including agendas, minutes, and follow-up actions.
  • Assist with the development and tracking of key performance indicators (KPIs) and operational reports.
  • Maintain confidentiality and exercise discretion in handling sensitive information.
  • Support project management efforts, helping the Executive Team with initiatives and day-to-day tasks.
  • Act as the main point of contact for internal and external stakeholders, building relationships with key partners and community organisations.
  • Manage office logistics, including supplies, events, and general office coordination.

Key Skills and Experience:

  • Proven experience as an Executive Assistant, Personal Assistant, or similar role, preferably in the not-for-profit sector.
  • Strong organizational and multitasking skills, with the ability to prioritize and manage multiple tasks effectively.
  • Excellent written and verbal communication skills, with a keen attention to detail.
  • High level of proficiency with office software (Microsoft Office, Google Suite) and the ability to quickly learn new systems.
  • Ability to maintain professionalism and confidentiality when dealing with sensitive matters.
  • A collaborative and flexible approach, with a strong commitment to EMH’s values and mission of supporting women and children in need.
  • Knowledge of the social services sector, particularly in the areas of domestic violence and CALD communities, is a plus.
