About the Role
Seeking a proactive Facilities & Fleet Administrator to manage the day-to-day operations of our facilities and fleet. This role involves overseeing building maintenance, ensuring safety compliance, and managing the maintenance and scheduling of company vehicles.

Facilities & Property Administration:

  • Manage the central property and fleet Outlook inboxes
  • Ensure all properties comply with all regulations (eg. tag & testing, OH&S etc)
  • Assist as required with site closures & establishment of new sites, including office fit-outs
  • Establish and maintain an up-to-date database of certified suppliers/tradesmen to service all sites across.
  • Process and arrange for a standard monthly payment for all recurring monthly property charges (in accordance with Finance)
  • Action account queries regarding property/leases/fleet/maintenance/etc
  • Coordinate the facilities and service contractors as required
  • Lodge and assist with property insurance claims
  • Assist with contract management as required

Fleet Administration

  • Ensure motor vehicle fleet is in accordance with leasing & policy requirements
  • Ensure the leasing company database is up to date with accurate information on the driver of the car (eg cost Centre and site pool vehicle)
  • Update driver information as required, eg register of current licenses
  • Ensure all logbooks completed for TOT and Pool vehicles per policy or other requirements

Qualification and Experience

  • Experience with facilities, property and contracts management
  • Experience in delivering and reporting on services according to agreed Service Levels
  • Ability to maintain high productivity levels with accuracy while under time pressure and/or dealing with conflicting priorities
  • Customer service orientation with demonstrated communication, negotiation and conflict resolution skills
  • Experience in dealing with a wide range of stakeholders and locations
  • Experience in working in a service driven, customer focused environment.
