Our company is growing, and we are on the lookout for a Scheduling Manager to join our team!
Position Summary
The Scheduling Manager will manage all the resources required to deliver the manufacturing and construction jobs/projects successfully and within the required scope of works. They will schedule, plan, forecast, & manage all activities aiming at assuring project/site accuracy and quality from planning & delivery to completion. Inclusive of co-ordination of daily production works, deliveries, installations and ensuring all daily jobs are closed out with completed paperwork.
You will work closely with our Manufacturing and Construction teams, trades, suppliers, and clients, providing administrative support, coordinating resources, and maintaining project documentation.
Key Responsibilities:
- Scheduling Installations: Coordinate and schedule manufacturing for both our modular and commercial construction projects, ensuring proper allocation of resources. Remain updated on all quotes/tenders awarded to ensure accurate scheduling and communication to site workers.
- Communication: Serve as the primary point of contact between clients, construction/project managers, and installation teams to confirm schedules, project details, and any changes or updates.
- Managing Workloads: Organise project meetings, prepare agendas, take and distribute minutes as required. Assist with submissions of Progress Claims and Invoicing with Accounts.
- Customer Service: Address client queries regarding project timelines, delays, or other concerns, ensuring a high level of customer satisfaction.
- Tracking and Reporting: Maintain and update a detailed installation calendar, track project progress, and keep all parties informed about job statuses. Maintain up-to-date project documentation, including contracts, permits, Design documentation and drawings. Prepare reports as required (update status report monthly) Assist with monthly project forecasting.
- Problem-Solving: Handle any scheduling conflicts or last-minute changes with efficiency, ensuring minimal disruption to project timelines.

- Prior experience in scheduling, logistics, or project coordination (preferably in the manufacturing, construction, or modular industry).
- Excellent verbal and written communication skills
- Intermediate computer software skills, comfortable working in a digital environment utilising Microsoft Office (especially Outlook, SharePoint, and Teams), and other digital tools.
- You are patient, and not easily flustered by unexpected change or conflicting priorities.
- You can identify priorities and can act promptly to resolve issues.
- You have excellent organisational skills and keep clear records.
- You know how to make things happen – you are adaptable, able to find solutions, and can effectively coordinate between parties to ensure service delivery.
- You are far-sighted – understanding the impact of your actions on the future, and planning/acting to prevent future issues.
- You are good to work with – considerate, professional, and courteous towards customers, contractors, and colleagues.
- You are adept at learning new information, grasping new concepts quickly, and applying learned knowledge effectively, including technical industrial knowledge, legislation, and standards.
- You are interested in learning, and willing to participate in training and development activities, particularly those required to meet the needs of the position.
- You have the legal right to work in Australia on a full time, permanent basis.
