Position Title: Event Coordinator
Location: Sydney

About the Role

We are seeking a passionate and detail-oriented Event Coordinator to join our team in promoting cultural exchange between Australia and China. This role is instrumental in supporting our mission to foster multicultural understanding through the production and promotion of events such as concerts, theatre performances, and cultural showcases.

The ideal candidate will have a strong appreciation of Chinese culture and the ability to translate its beauty and significance for Australian audiences. You will be responsible for managing all aspects of event planning and execution—from concept to completion—while collaborating with internal teams, vendors, and partners to deliver memorable experiences.

Key Responsibilities

Plan and execute events in line with organisational objectives, audience interests, and cultural themes

Lead the coordination of logistics, venues, vendors, and suppliers

Develop tailored marketing strategies for each event

Design and oversee the creation of promotional materials including flyers, digital assets, and signage

Manage event budgets, timelines, and resources

Define event value propositions, including pricing strategies and audience targeting

Collaborate with marketing and PR teams to drive attendance and awareness

Liaise with clients, artists, and cultural institutions to develop meaningful event content

Conduct post-event evaluations and suggest improvements for future initiatives

Ensure smooth day-of-event execution and troubleshoot issues as they arise

Maintain and update a customer relationship management (CRM) database

Stay up to date on cultural and industry trends to identify new opportunities

Key Requirements

Cultural and Language Proficiency

Bilingual fluency in English and Mandarin, with demonstrated written and spoken proficiency

Familiarity with both Chinese and Australian cultures

Educational background or lived experience in both Chinese and Western environments

A genuine passion for promoting Chinese arts and cultural inclusion

Event Promotion & Production Skills

Proven ability to coordinate events with attention to detail and audience engagement

Experience working with diverse partners and community groups

Strong organizational and multitasking skills with the ability to manage competing priorities

Effective communication, negotiation, and networking abilities

Confidence working under pressure and in fast-paced environments

Knowledge of social media and digital marketing tools in the context of event promotion

Creativity in conceptualising event formats, decor, and promotional content

Additional Desirable Criteria

Previous professional experience in event planning or arts/cultural programming

Proficiency with customer databases and marketing tools

Australian Citizen or Permanent Resident
