About the Company

Davidson is working with a state government client who is seeking an experienced Advisor (Document Control) to support the Logan and Gold Coast Faster Rail Project. This project aims to unlock the current bottleneck on the SEQ rail network, enabling more frequent and reliable services between Brisbane, Logan, and the Gold Coast, ahead of the 2032 Olympic and Paralympic Games.

About the Role

The purpose of this role is to contribute to the successful delivery of the Logan and Gold Coast Faster Rail (LGC) project by managing project document control activities. Reporting to the Business Manager, this role is responsible for maintaining project document control systems, ensuring compliance with project document management plans, and supporting the project team with document-related tasks.

The Advisor (Document Control) will engage with team members and external parties, monitor document management processes, identify areas for improvement, and provide training and support to ensure efficient and compliant document handling.

  • Project management and coordination: Collaborate across the project team and with external stakeholders to maintain and update project document control systems. Ensure all documents and communications are processed efficiently and compliantly.
  • Monitoring and reporting: Track and report on document management activities, ensuring documents are securely stored, tracked, and responded to as per project document management plans and contractual timeframes. Develop and deliver progress status updates to senior stakeholders.
  • Risk and issue management: Proactively identify, document, and manage risks and issues related to document control. Develop mitigation strategies and escalate critical risks as appropriate.
  • Stakeholder engagement and communication: Act as the central point of contact for document control, facilitating communication and collaboration across teams. Ensure key stakeholders are kept informed of document management processes and changes.
  • Governance and compliance: Ensure compliance with project document management plans and Queensland State Record Keeping Policies. Support the Business Manager in preparing for governance meetings and project reviews.
  • Reporting: Develop project status reports, dashboards, and senior stakeholder (Executive, Board) level reporting related to document control.
  • Change control: Manage change requests related to document control, ensuring deviations from the project plan are evaluated, approved, and communicated effectively. Maintain a change and decision log.
  • Continuous improvement: Identify opportunities to improve document management processes. Support the development of document management tools, templates, and best practices to drive continuous improvement.

About You

  • Experience in document control roles, ideally within large-scale infrastructure projects.
  • Proven expertise in document management and compliance, including development of document control systems and processes.
  • Strong risk and issue management capabilities with a demonstrated ability to identify, assess, and mitigate risks in complex projects.
  • Advanced communication and stakeholder management skills, with the ability to engage, influence, and collaborate effectively with stakeholders at all levels.
  • Exceptional analytical and problem-solving skills, with a track record of using data-driven insights to inform document management decisions.
  • Experience leading and supporting document control functions, with the ability to foster a collaborative environment and drive high performance across the project team.
  • Proficient in document management software and tools (e.g., InEight Document (TeamBinder), MS Teams, SharePoint, Content Manager) with the ability to quickly adapt to new technologies and optimize their use for project delivery.
