About the Role:
YMAC’s Research, Country and Culture Services (RC&CS) team provides Research, Heritage, Social Surrounds and Land & Sea Management services to PBC’s and Traditional Owners in the management of their Country and Culture. YMAC’s RC&CS is a skilled and coordinated team of archaeologists, anthropologists, environmental scientists, land and sea management specialists, ranger coordinators, managers and administrators who contribute to the ongoing empowerment of our clients – Aboriginal communities and organisations throughout the Yamatji and Pilbara regions.
YMAC is currently seeking a full time (75 hours per fortnight) Executive Assistant to join the Research, Country and Culture Services team in our Perth office on a Permanent contract. Supporting the Research, Country and Culture Services Manager (RC&CSM), this role will provide an efficient, professional, and confidential executive support in a one-on-one working relationship.
Reporting directly to the RC&CSM, the Executive Assistant (EA) provides an efficient, professional and confidential executive support in a one-on-one working relationship. The EA serves as the primary point of contact for internal and external stakeholders on all matters pertaining to the Office of the RC&CSM.
The EA will be responsible for providing business project support for the office of the RC&CSM, developing and maintaining administrative systems and process to support the effect running of the office.
Duties include, but are not limited to:
- Completes a broad variety of administrative tasks for the Senior Executive including: managing extremely active calendar of appointments, composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; compiling documents for travel and non-travel related meetings.
- Researches, prioritises, and follows up on incoming issues and concerns addressed to the Senior Executive, including those of a sensitive or confidential nature. Assists the Senior Executive in the execution of appropriate course of action, referral, or response as and when requested.
- Completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, producing reports / briefs, and other tasks that facilitate the Senior Executives’ ability to effectively lead their departments.
- Monitor and process invoices from consultants and external suppliers for approvals and payment.
- Maintain the RC&CS reference library and circulate subscribed publications to the RC&CS team.
- Assists with the development and organisation of training programs and reporting.

Selection Criteria
Qualifications & Experience
- Knowledge and/or experience in native title and/or heritage in Western Australia (highly regarded).
- Humanities, Arts, or Social Science qualifications highly regarded.
- Minimum 3 years demonstrated experience in a similar role.
- Demonstrated experience with taking notes at meetings and preparing minutes, experience with Board and Committee Meetings highly regarded.
- Experience working across multiple projects and disciplines.
- Experience working with Traditional Owners highly regarded.
Skills
- Must demonstrate ability to maintain high levels of confidentiality.
- High level interpersonal, verbal, and written communication skills.
- Excellent attention to detail.
- Ability to work independently.
- Strong organisational and time management skills.
- Intermediate / Advanced in the use of the Microsoft Office suite
