On behalf of our client, we are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support the Founder of the company. This role combines traditional Executive Assistant responsibilities with office management duties to ensure the smooth operation of day-to-day activities. You will provide 1:1 support to the Founder, and manage their calendar, inbox, travel arrangements, and events, while also handling various office management tasks to ensure a productive and efficient working environment.

This role is 5 days a week in the office, with the office located in O'Connor.
Key Responsibilities:
Executive Assistant:
- Calendar Management: Coordinate and manage the Founder’s calendar, scheduling meetings, appointments, and events, ensuring optimal time management.
- Inbox Management: Monitor and prioritize incoming emails, responding where appropriate and organizing important correspondence for review.
- Personal Assistant duties: Personal duties however the Founder is self-sufficient
- Travel Coordination: Arrange and manage complex travel itineraries, including flights, accommodation, transportation, and other logistics. Travel Globally.
- Event Planning & Coordination: Organize both internal and external events, such as meetings, conferences, and social gatherings. This includes securing venues, coordinating logistics, and handling RSVPs.
- Research & Preparation: Conduct research on behalf of the Founder, prepare reports, presentations, and documents for meetings, and assist with ad-hoc tasks as required.
Office Management:
- Office Operations: Oversee the daily operations of the office, including maintaining office supplies, equipment, and services. Ensure the workspace is organized and well-maintained.
- Vendor Management: Liaise with external vendors, suppliers, and service providers, managing relationships and contracts as necessary.
- Streamline Processes: The ideal is for the role of the office manager to be streamlined so that the bulk of this position will be supporting the founder as this business grows.
Key Requirements:
- Proven experience as an Executive Assistant/ Personal Assistant.
- Strong organizational skills with the ability to prioritize and manage multiple tasks.
- Excellent communication skills, both written and verbal.
- High level of discretion and ability to handle sensitive information.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Ability to work independently, take initiative, and manage time effectively.
- Positive attitude, flexibility, and a team-oriented mindset.
