FIRE SYSTEM SERVICES is a fire protection business located in Wingfield SA 5013, looking for an experienced Administrative Assistant to join our thriving team. As we gear up for expansion, we need someone with the fire in their belly to take on a pivotal role in our journey to success.
In this crucial role, you will be responsible for providing comprehensive reception, accounts receivable, administrative and office support to ensure the smooth running of our operations.
Full-time, Permanent role, with an option for 30 - 37.5 hours per week depending on the applicant. Operating hours 9am - 5pm, Monday - Friday.

What You'll Be Doing:
- Attend to reception duties including telephone, in-person & email enquiries regarding goods & services provided
- Handle a variety of administrative tasks such as data entry, filing, and document management
- Invoicing routine services provided by in-the-field technicians including preparation and dispatch of reports & quotes using Uptick fire protection asset maintenance software (integrated with Xero accounting software)
- Invoice in-person, telephone & internet sales using Xero accounting software
- Process & dispatch goods for in-person, telephone & internet sales
- Xero account receivables and associated tasks
- Provide excellent customer service
- Provide general office support, including ordering supplies and managing inventory
- Maintaining and updating office systems, databases, and records
- Contribute to the overall efficiency and productivity of the office environment
- Assist with scheduling and coordinating service appointments for in-the-field technicians as required
- Assist with accounts payable and associated tasks as required
- Assist with the preparation of reports, presentations, and other business documents as required
What We're Looking For:
- Previous experience in accounts receivable is essential
- Proficiency in Xero accounting software with accounts receivables & invoicing is essential
- Previous experience in an administrative &/or office support role in a customer-oriented environment
- Proficient in Microsoft Office suite and other relevant software applications
- Previous experience in Uptick, FireMate or similar purpose-built asset maintenance software is desirable, however on-the-job training will be provided including self-paced online learning
- Strong organisational and time management skills with the ability to prioritise tasks and meet deadlines
- Excellent communication and interpersonal skills, with a customer-focused approach and the ability to thrive under pressure
- High level of attention to detail and the ability to work accurately and efficiently
- A self-motivated & reliable individual with a positive, proactive and collaborative "can-do" attitude, who works well with others and is able to work independently
