Akooramak Care of the Older Person is seeking a dedicated, experienced Full-time Roster Co-ordinator to join our friendly and supportive Administration team. We are looking for a vibrant and energetic person to join our team in a fast-paced office environment.
We have been providing aged care services to the community of Warwick since 1876 and enjoy an established reputation for providing high quality, personalised care to all of our residents and clients.
Who are we seeking?
Ideally, we would love an experienced candidate, but we are open to training the right person in the role.
Your role will include:
Rostering
- Knowledge and understanding of Modern Awards, Fair Work and Akooramak Workplace Agreements.
- Monitor employees' working hours to ensure compliance with all industrial relations obligations.
- Collaborate with Heads of Departments to develop and maintain rosters that meet the organisation's needs.
- Work closely with Heads of Departments and Team Leaders to address and resolve any discrepancies in rosters.
- Effectively allocate staff resources, considering team requirements, shift swaps, leave, training, and workers' compensation.
- Coordinate with Payroll staff and Heads of Departments to address queries related to timesheets or rosters.
- Partner with Payroll staff to ensure timesheets and payroll reports are prepared accurately and on time.
- Communicate new or updated employee details to Payroll staff for human resource purposes.
- Update and maintain timesheet records to reflect roster changes as needed.
- Apply leave entitlements to timesheets as required.
- Identify inefficiencies in staff resourcing and work with Heads of Departments to implement solutions.
- Provide recommendations regarding recruitment needs.
- Document and respond to phone calls and emails from staff concerning rostered shifts.
- Act as the main contact for all rostering-related inquiries.
- Reassign staff to other shifts in cases where shifts are cancelled.
- Liaise with external agencies to fill gaps in the roster as needed.
- Create rosters using the organisation's electronic system, ensuring all staff have the necessary skills and qualifications for their assigned shifts.
- Monitor staff restrictions such as medical requirements, visa constraints, or personal limitations, in collaboration with Payroll staff and Heads of Departments.
- Escalate issues to the appropriate Heads of Departments when necessary.
Training
- Co-ordinate orientation shifts for new staff.
- Liaise with Education Co-ordinator to accommodate training sessions around staff availability.
Reporting
- Update government reporting portals with 24/7 Registered Nurse coverage.
Other
- Assist in driving continuous improvement with the organisation
- Assist in general office administration duties as requirement
