Are you an experienced Medical Practice Manager or Senior Medical Administrator looking for your next challenge? This is an exciting opportunity to manage a specialist medical practice in Sydney, working closely with a small team of 2-3 administrative staff (both face-to-face and virtual) in a dynamic, patient-focused environment.

About the Role:

Our clinic is a friendly, patient-centred specialist practice currently located within a private hospital. With two senior specialists and an established referral base, we are a growing practice seeking a dedicated Practice Manager to oversee our daily operations.

As Practice Manager, you will play a key leadership role in ensuring the clinic functions efficiently while maintaining a high standard of patient care. From managing staff to handling patient billing and ensuring compliance with clinic policies, your role will be integral to the smooth running of our practice.

Key Responsibilities:

  • Oversee the day-to-day operations of the specialist medical clinic, ensuring efficiency and high-quality patient care.
  • Manage and support a small team of 2-3 administrative staff, including both in-clinic and virtual team members.
  • Handle patient billing processes, including Medicare, DVA, Workers Compensation, and private health insurance claims.
  • Maintain and update the practice website, ensuring accurate and up-to-date information for patients.
  • Develop and implement policies and procedures to ensure compliance with healthcare regulations.
  • Liaise with specialists, allied health professionals, and external service providers.
  • Oversee customer service, ensuring all patients receive professional, compassionate, and timely assistance.
  • Manage patient records and ensure confidentiality is maintained in accordance with healthcare standards.
  • Handle appointment scheduling and ensure an organised workflow within the clinic.
  • Assist with medical billing and invoicing, including reconciling payments and liaising with accounting teams.
  • Dispatch patient letters and reports in a timely manner.
  • Collaborate on strategic and business growth plans with practice leadership.
  • Foster a positive, collaborative culture that empowers the team and supports practice growth.

Key Candidate Requirements:

Desirable Skills & Attributes:

  • Previous experience as a Practice Manager or Senior Medical Administrator in a specialist medical clinic.
  • 3+ years of experience as a medical practice manager or senior medical administrator.
  • Strong problem-solving skills and the ability to manage competing priorities.
  • Excellent communication skills, leadership, and organisational abilities.
  • Highly proficient in MBS reconciliation.
  • Strong understanding of patient care, compliance standards, and healthcare regulations.
  • A proactive, patient-focused approach
  • Professional personal presentation with a polite, respectful, and compassionate manner.
  • Strong work ethic, excellent attention to detail, and ability to work under pressure.
  • Ability to manage time effectively and prioritise tasks
  • Excellent phone manners and interpersonal skills when dealing with patients, doctors, and hospital staff.
  • Ability to work independently.
  • Experience with patient management systems (Gentu experience is a plus).
  • Knowledge of medical billing systems including workcover and legal billing and practice management software.
  • Experience in public and private billing within the Australian healthcare system.
  • Strong leadership skills with the ability to support and guide a small team.
  • Strong IT skills, including maintaining medical records efficiently and confidentially.
