Receptionist Position – Family Minded
Hours: Part-time (hours to be arranged), or full-time for the right candidate.
Location: Sunbury
Requirements: Working with Children's Check & Police Check
Family Minded is a child and family-focused psychology clinic supporting the Sunbury community. We are looking for a warm, patient, and friendly receptionist to join our team. The right person will enjoy engaging with children and families from a diverse range of community groups and play a key role in creating a welcoming and positive experience for every client.
About the Role The primary purpose of this role is to ensure the smooth day-to-day running of the practice, with a strong focus on client interaction and administrative support to the practice manager and clinical team. Your role will involve:
Front Desk Responsibilities:
- Managing client appointments, cancellations, and rescheduled appointments using Halaxy or PracSuite.
- Handling client arrivals with warmth and professionalism.
- Responding to phone, email, and in-person inquiries.
- Processing payments
- Managing incoming and outgoing correspondence.
- Providing administrative support to the practice manager and clinicians on a range of tasks.
- Data entry, filing and file management
- General bookkeeping (training provided)
Practice Presentation:
- Taking pride in maintaining a welcoming and child-friendly environment.
- Ensuring the practice is clean, tidy, and well-presented at all times (Waiting room, hallways and client toilet)
- Assist clinicians with any room requirements and restocking materials as needed.
Marketing & Client Engagement:
- Liaising with referrers, families, and community organisations.
- Professional follow up of client accounts and overdue invoices
- Contribute to excellent professional and confidential client services.
What We’re Looking For:
- Warm, friendly, and patient personality with a genuine love for working with children and families.
- Excellent written and verbal communication skills.
- Strong and highly professional conflict resolution skills.
- Strong organisational skills and high level of attention to detail.
- Ability to juggle multiple and competing tasks in a busy environment.
- Experience using client management software (Halaxy or PracSuite is a bonus, but not essential).
- Previous reception or administration experience (allied health preferred but not essential).
- Proficiency in MS Office (Word, Excel, Outlook).
- Additional skills in IT, marketing, or social media are welcomed but not required.
