We’re looking for an exceptional customer service focused office manager to lead the day-to-day at KOJA: processing daily orders, supporting our wonderful customers, and checking customer details with strong numerical skills and high attention to detail.

Company: KOJA
Location: Highett, VIC - Hybrid role, M,W,F in office. Tu,Th from home.
Part-Time: 20hrs per week (Approx 9am - 1pm daily)
Salary: $40 - $42 per hour plus super as permanent Part-time employee
Reports to: CEO & Founder - Kate Johansson

As we continue to grow at pace, we are dedicated to providing exceptional customer service that reflects the premium quality of our products. To support this, we are seeking an experienced Office Manager to oversee the daily operations of our Highett-based office. This role will be integral in ensuring smooth coordination between our customers, suppliers, and sales and marketing team.

Key Responsibilities:

  • Customer Service - Wholesale channel via email and phone
  • Customer Service - Direct Consumers via email and messaging platforms
  • Order Processing and Invoicing in Xero
  • Coordinating Freight providers
  • General administrative support to our office of 5 staff.
  • Manage stock levels and initiating replenishment
  • Check deliveries against POs for accuracy
  • Identify improvements in our current processes and implement them

Qualifications and Experience:

  • Demonstrate a genuine passion for our customers and a commitment to delivering exceptional customer service: Minimum of 5 years relevant experience
  • Accounts experience preferred
  • Strong numerical and analytical skills with the ability to maintain accuracy in Xero
  • Strong proficiency in Xero, Google Sheets/Excel
  • Strong organisational and time management skills.
  • Excellent attention to detail and accuracy.
  • Excellent communication skills, both written and verbal.
  • Confidence to work with a small team and take full responsibility for your role
