We are seeking a highly organised, initiative-taking and dependable Office Manager to join our growing family Rural Finance Business based in the beautiful Hunter Valley of New South Wales. Our business specialises in offering a range of financial services tailored to the unique needs of Civil Construction Contractors and Farmers in our region and beyond by providing tailored solutions to their individual businesses.
That may be Commercial or Agricultural Finance, Debt advisory, Acquisition/Investment advice or leverage unencumbered assets.

The Office Manager will be responsible for overseeing the day-to-day administrative operations of the office, ensuring everything runs efficiently, and delivering outstanding customer service. The ideal candidate will be someone who can work independently, yet also as part of a close-knit team and be comfortable with both the financial and customer service aspects of the role.
Key Responsibilities:
- Oversee the daily administrative functions of the office, including managing office supplies, coordinating office maintenance, and ensuring the workspace is efficient and organised.
- Manage the office calendar, scheduling meetings, appointments, and client consultations.
- Prepare and organise documents, reports, and presentations as required by the finance team or clients.
- Maintain and manage filing systems, both physical and digital, ensuring that all client information is kept confidential and organised in line with company policies.
- Serve as the first point of contact for clients, greeting them, answering inquiries, and directing them to the appropriate team member.
- Provide excellent customer service, ensuring all client queries, requests, or concerns are managed promptly and professionally.
- Assist with the preparation and follow-up of client meetings and financial consultations, ensuring that all necessary documentation is prepared in advance.
- Coordinate the processing of client applications for financial products, ensuring all documentation is correctly completed and submitted.
- Maintain accurate records of financial transactions and assist in the preparation of financial reports.
- Consult with clients and third parties (e.g. Accountants, Insurance providers, Suppliers) as needed to gather financial information or ensure smooth processing of transactions.
- Assist in maintaining compliance with relevant industry regulations, ensuring all financial and client information is managed according to legal and regulatory requirements.
- Support the implementation of any internal policies or procedures related to data privacy, client care, and financial operations.
- Keep up to date with any changes in local regulations that could affect the finance industry, particularly those relating to rural businesses.
- Ensure that office technology (computers, printers, phones, etc.) is operating smoothly and coordinate repairs or upgrades, as necessary.
- Manage office software and systems, ensuring all team members are trained and systems are fully functional.
- Support the business in utilizing technology for efficiency, from implementing new software tools to streamlining current processes.
- Assist in team coordination, helping the finance team to stay organized with schedules, paperwork, and communications.
- Provide administrative support to the management team, including preparing reports, conducting research, and handling project-related tasks as required.
- Foster a positive and productive office culture by encouraging teamwork and collaboration.
- Order office supplies, ensuring that the office is stocked with necessary materials and equipment.
- Manage the office’s phone lines, managing inbound calls and messages, and ensuring that all messages are passed on in a timely manner.

Skills and Qualifications:
- Experience: A minimum of 2-3 years of experience in office management or administration, ideally in a Financial or Regional/Rural business environment.
- Financial Acumen: Basic understanding of financial terminology and office administration tasks, including invoicing, processing payments, and supporting financial reporting.
- Communication Skills: Strong written and verbal communication skills, with the ability to interact professionally with clients and team members.
- Diligence: Highly organized with a keen eye for detail, ensuring all tasks are completed accurately and efficiently.
- Technology Proficiency: Comfortable using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), and experience with office management software or databases.
- Customer Service: A customer-first attitude with experience in handling client inquiries and delivering excellent service.
- Confidentiality: Ability to manage sensitive client information with discretion and adhere to confidentiality protocols.
- Time Management: Exceptional time management skills with the ability to manage multiple tasks and meet deadlines in a challenging environment.
Desirable Attributes:
- Tertiary Qualifications: A degree in Finance or Agribusiness is desirable however not an essential requirement initially.
- Rural Knowledge: Familiarity with the unique challenges and opportunities of working in a Regional/Rural business environment, ideally in the Hunter Valley or similar NSW regions.
- Adaptability: Willingness to adapt to the evolving needs of a growing business.
- Problem-Solving: An initiative-taking attitude, with the ability to identify and resolve issues before they become problems.
