About the role:
  • We are seeking a reliable, passionate and experienced Administration Manager / Senior Receptionist who thrives on a fast paced, multifaceted workload.
  • Our ideal candidate will have excellent time management skills, ability to multi-task and prioritise and be able to reliably assist in completing many tasks critical to the functioning of our clinic.
  • The vision for our clinic is to be “the premier health provider for our Barossa community”. In this role you will help us deliver on this in many ways. Firstly in delivering high standards yourself as well as ensuring our operating processes support this and through your leadership and management of our team. You will be accountable for the functions and performance of our administrative team, as well as the non-clinical aspects of our therapists roles.
  • In this role you will be an integrator between the owner and the clinic - running the daily operations and implementing the processes that underpin the vision and new ideas for the clinic. This includes implementing new processes, as well as identifying areas for improvement and having accountability for impacting those identified by the owner.

Core responsibilities are varied and include:

  • Reception - The role includes some time on the front desk in customer service and reception duties

  • Direct support to the owner - perform administrative tasks and provide support that allows the owner to perform the big picture responsibilities of that role. Implementing/managing new ideas or identified priorities for the clinic. Ongoing clear and constructive communication and reporting.

  • Daily Operations Management​ - keep day-to-day clinic operations running efficiently. Identify problems or areas for improvement. Analyse, streamline and simplify processes. Manage accounts receivable. Coordinate admin team rosters. Ensure compliance with regulations. Manage day-day needs within the clinic. Pay bills relating to general clinic functions. Stock control.
  • People Management​ - provide guidance, training and support to our admin team. Oversee non-clinical tasks of our clinical team. Contribute to a positive culture. Maintain accountability within our team.

  • Integrator / Project Management - Complete tasks / projects / training that allow the clinic to overcome identified issues, progress toward our goals and maintain compliance. Manage timely and successful integration of projects into practice.

  • HR - coordinate HR documents, oversee team compliance in implementation of clinic policies and procedures. Coordinate leave management. Assist in updating policies and procedures. Onboarding & induction of new team members.

Proven strong time-management in a multi-tasking environment is essential to succeed in this role. Candidates must have a professional demeanour, understanding of high-level customer service, excellent attention to detail and problem-solving skills. A growth mindset with desire for continual improvement and to support business growth are also required.

This position is full-time but we will consider a role of 34hrs or more for the right candidate
The role is proposed to commence as soon as possible
Applicants must have flexibility within the hours they are available to work to help also provide cover for our admin team through our hours of operation.
