Hours: 38hrs/Week.

Not Just Bendy Hypermobility Services is seeking a full time superstar administration manager to join our amazing team. As a key member of our leadership group, you will be the glue that keeps our operations running smoothly, overseeing administration and reception, ensuring efficiency, compliance, and supporting our team in providing exceptional, patient-centred care.
Our ideal candidate will love working as part of a team and bring a positive proactive and adaptable vibe to our growing and evolving practice. You will help implement change and be confident in handling challenges. You will have the leadership skills to manage and uplift a small team while also being open to guidance and collaboration with the Senior Management Team.
About the Role
As Administration Manager, you will demonstrate dedication to the role, accountability, and initiative for ensuring the smooth operation of the practice.
This an onsite role with some flexibility in roster required to accommodate the needs of the practice.
As Administration Manager, you will:
- Oversee all administrative and operational aspects of the practice, including patient experience, staff scheduling and financial reporting
- Manage and support the reception team, providing leadership, training, and performance management
- Resolve patient concerns and feedback
- Assist Owner and Management Team as needed
- Work closely with the Business Manager and Clinical Team Lead to ensure policies are implemented and operations streamlined
- Contribute to continuous improvement by identifying opportunities to enhance administrative processes and patient experience
- Contribute to procedural updates as part of continuous business improvements
- Ensure compliance with healthcare regulations and industry standards
- Liaise with healthcare providers, insurance companies, and external stakeholders to facilitate seamless patient care and reimbursement
- Oversee financial systems, including Xero, for payroll processing, accounts payable/receivable, and travel/holiday approvals.
- Organise team social events and assist with other marketing and event preparation activities
Essential Qualities and Experience
- 2 years minimum experience in healthcare practice management or a similar role
- Prior experience with allied health/medical operations, billing, and patient management systems
- A passion for supporting the needs of diverse clients
- Exceptional interpersonal and communication skills—you will be liaising with patients, clinicians, and key stakeholders
- The ability to problem-solve, multitask, and manage competing priorities
- High attention to detail, accuracy and efficiency
- Commitment to the role – both in requirements and hours
- Experience with Xero (financial and payroll management), Nookal (appointment scheduling system), HiCAPS (payments), and Click up (online task management system) or similar systems desirable
- Experience with NDIS essential
- Skills with Microsoft Office essential
