About the role

The Workforce & Rostering Coordinator ensures efficient staff allocation to meet participant needs while maintaining compliance with workforce regulations and best practice rostering. This role involves developing and managing roster templates, staff scheduling, and shift allocations to support effective workforce deployment.

Key responsibilities include managing unplanned absences and leave coverage, optimising casual workforce utilisation, and collaborating with HR, Payroll, and operational teams to support sustainable workforce planning. The role also contributes to process improvements, workforce data analysis, and compliance monitoring, ensuring a responsive and engaged staffing pool that meets service delivery needs.

Essential criteria

  1. Proven experience in workforce coordination and rostering for a diverse, multi-site, and shift-based workforce, ideally within a 24/7 service environment.
  2. Comprehensive understanding of workforce scheduling principles, including compliance with relevant industrial instruments and employment legislation.
  3. Proficiency in rostering software and Microsoft Office programs, with the ability to learn and implement new systems efficiently.
  4. Excellent communication, negotiation, and influencing skills, with the ability to liaise effectively with staff and stakeholders to resolve rostering challenges.
  5. High-level organisational and time management skills, with the ability to prioritise tasks, manage competing demands, and meet deadlines in a dynamic environment.
  6. Strong problem-solving and decision-making skills, with the ability to respond to changing workforce needs, resolve shift vacancies, and manage unplanned absences while ensuring service continuity.
  7. Ability to collect, analyse, and report on workforce data, including rostering patterns, shift coverage, overtime trends, and staff utilisation, to support informed decision-making and workforce planning

Highly desirable

  1. Experience working in disability, aged care, or community services, particularly within the NDIS.
  2. Knowledge of the SCHADS Award, including rostering entitlements such as shift penalties, rest breaks, broken shifts, and overtime provisions.
  3. Demonstrated ability to work within a culturally diverse environment, showing awareness and sensitivity towards different backgrounds and perspectives.
