We are looking for a Rostering Coordinator to join our team based out of our Ingleside office.

About this role

The Rostering Coordinator will be responsible for the effective planning, coordination, and management of staff rosters to ensure sustainable and meaningful work for the team. This role requires proactive problem-solving to accommodate last-minute changes, liaising with staff and clients, and maintaining a high standard of customer service to ensure seamless service delivery.

Key Responsibilities

Roster Management & Staff Coordination

  • Compile and produce monthly rosters that ensure equitable distribution of work and optimal staff utilisation.
  • Coordinate day-to-day roster changes resulting from staffing needs, ensuring minimal disruption to services.
  • Arrange replacement staff to cover both planned and unplanned absences, such as sick leave or emergencies.
  • Approve shifts and timesheets, ensuring compliance with organisational policies and workforce requirements.
  • Allocate support workers based on their skills, experience, and client needs to deliver high-quality care and support.
  • Organise staff schedules to minimise unnecessary travel and ensure efficiency in service delivery.

Client & Staff Communication

  • Act as the first point of contact for all rostering inquiries from staff and clients.
  • Maintain daily contact with support workers and clients, providing prompt and positive customer service and guidance.
  • Assist with answering incoming service calls and making calls to clients, staff, and service providers.
  • Respond efficiently to daily changes in care and support packages, ensuring continuity of services.

Support & Compliance

  • Support Team Leaders, Support Coordinators and Support Workers with roster-related concerns and adjustments.
  • Ensure compliance with company policies, workforce regulations, and relevant industry standards.
  • Maintain accurate and up-to-date records of all staff shifts, adjustments, and approvals.
  • Work closely with the HR and Payroll teams to ensure accurate payroll processing and staff entitlements.

Qualifications & Experience

Essential:

  • 5+ Experience in rostering, scheduling, or workforce coordination within healthcare, disability, or aged care sectors.
  • Strong organisational and problem-solving skills with the ability to adapt to last-minute changes.
  • Excellent verbal and written communication skills.
  • Ability to work independently and manage multiple tasks efficiently.
  • Proficiency in rostering software and Microsoft Office applications.
  • Qualification in developing ROC (Roster of Care) or willing to be trained.

Desirable:

  • Prior experience in a customer service role within a healthcare or community services environment.
  • Knowledge of workforce regulations, including Fair Work Act and award requirements.
