This Office Manager/Executive Assistant position offers a mix of administrative and executive support, focusing on office management, scheduling, and supporting the Managing Partner. Duties and Key Responsibilities:
- Greet and assist visitors and clients with professionalism and courtesy.
- Answer and direct phone calls to the appropriate department or individual.
- Maintain a clean and organised office, ensuring all meeting rooms are kept tidy.
- Manage office supplies, catering, and stock control.
- Organise in-house team functions and suggest/facilitate all staff events.
- Coordinate and schedule meetings, appointments, and conference room bookings.
- Manage the Managing Partner’s calendar, including meetings and appointments.
- Plan and book personal and business travel (flights, accommodation, transportation).
Skills and Experience:
The ideal candidate will be highly organised, proactive, and capable of handling multiple tasks at once. You should possess strong communication and interpersonal skills, be proficient in office software, and have a solid background in executive or administrative support roles. A natural team player who thrives in a fast-paced, dynamic environment and is eager to contribute to the firm’s success will be highly valued.
- Proven experience as an Administrative Assistant or Executive Assistant.
- Exceptional organisational and multitasking skills.
- Proficiency in office software (e.g., MS Office, CRM systems).
- Experience in managing calendars, travel arrangements, and event planning.
- Strong communication and interpersonal skills.
- Ability to maintain confidentiality and handle sensitive information.
