The Company

They are seeking a professional, organised and highly proficient receptionist to join their team. The Position

Your key responsibilities will include, but not be limited to:

  • Serve as the first point of contact for all incoming calls, directing them to the appropriate departments or individuals
  • Ensure that mail is received, sorted, and distributed promptly; manage outgoing mail efficiently
  • Coordinate and track all incoming and outgoing courier deliveries
  • Greet visitors, ensuring they feel welcome and directing them to the correct areas
  • Oversee meeting room schedules, ensure meeting rooms are prepared and orderly for scheduled meetings
  • Monitor and manage inventory of kitchen supplies and meeting room items, ensuring they are always well-stocked and well-maintained
  • Handle scanning, filing, and organizing documents as part of the office's administration system
  • Contribute to the ongoing improvement of processes and systems
  • Provide administrative support to the Practice Manager with day-to-day staff-related tasks and other functions as needed
  • Support the team with additional administrative duties to ensure smooth office operations

The Candidate

The successful applicant will have held a similar position in a professional field, and have demonstrated the following abilities:

  • Strong communication skills (both written and verbal)
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook)
  • Handle multiple tasks and priorities effectively
  • Capable to work independently and as part of a team
  • Ability to use initiative and think ahead to complete tasks

Hours of operation:

  • Monday: 8:15am - 5:00pm
  • Tuesday to Friday: 8:30am - 5:00pm
