Service Administrator

Be the backbone of a high-performing HVAC service team.

Baldwin Group NT is a locally owned and operated business delivering specialist refrigeration and air conditioning services across the Offshore Oil & Gas, Marine, Commercial, Industrial and Residential sectors. Based in Darwin, we operate throughout the Northern Territory, Western Australia, Southeast Asia, and New Zealand.

We’re seeking a proactive and detail-oriented Service Administrator to join our growing team. If you thrive in a fast-paced environment and take pride in delivering exceptional customer service, this role is for you.

Requirements for the Role:

Strong organisational skills with the ability to manage multiple jobs and prioritise workloads;

A high level of attention to detail and accuracy;

Excellent communication and interpersonal skills, with a high level of professionalism;

The ability to work confidently and efficiently while unsupervised, as well as the ability to work effectively as a member of a team;

A proactive, solutions-focused mindset;

Confidence and proficiency in using Microsoft Office, and scheduling, invoicing, and service management software (e.g. ServiceM8, SimPRO, AroFlo, or similar);

Previous experience in administration, scheduling, and/or customer service in a trade-based or service industry environment (preferred);

A commitment to continuous improvement;

A current Driver’s Licence; and

A Construction Induction Card (White Card) (or willingness to obtain);

Key Responsibilities:

Coordinate and schedule service jobs, record service report notes and liaise with technicians and the internal team to manage workflow;

Liaise with clients, suppliers, and the internal team to ensure smooth service delivery;

Prepare and process quotes, purchase orders, and invoices as required;

Maintain accurate service records, job documentation, and compliance paperwork;

Support the service team with parts ordering, logistics, and reporting; and

Assist with general office administration and customer enquiries as required.
