What You Will Be Working On
You'll be the operational heartbeat of the Brisbane office, but this goes far beyond answering phones and tidying up. You'll assist with project administration from creation to close-out, manage financial processes including invoicing and accounts receivable, and support quality assurance systems that keep the business compliant and efficient.
Your week will have rhythm and variety. Mondays and Tuesdays you'll update project tasks and action items from work-in-progress meetings. Thursdays and Fridays you'll generate invoicing for multiple branches. Throughout the week you'll be the facilitator—coordinating calendars, managing travel arrangements, maintaining training schedules, and ensuring everyone has what they need to succeed.
The cross-functional nature of your role means you'll work closely with project managers, engineers, and the broader administration team.
What Type Of Person Will Be Successful
You're someone who genuinely enjoys administration work and takes pride in creating order and following through. You've worked in administrative roles before and discovered you're really good at juggling multiple priorities without dropping the ball. More importantly, you love it when your time management makes everyone else's work easier.
You'll thrive here if you:
- Have proven administration experience
- Are confident with MS Office Suite (particularly Outlook, Excel, and Word) and pick up new systems quickly
- Enjoy being part of a team but don't need constant supervision—you see what needs doing and you do it
- Have experience with ERP or project management systems (advantageous but not essential. Training will be provided on on new platform)
- Bring a positive, can-do attitude and are genuinely open to learning and growing with the business
- Can manage the details while keeping the bigger picture in mind
- Communicate clearly and professionally with everyone from engineers to suppliers
