About the Role
Are you a detail-oriented problem-solver who stays cool under pressure and gets genuine satisfaction from creating seamless schedules? We're looking for a Scheduling Administrator who can master the art of rostering while building strong relationships with our team.
You'll be the engine room behind our service delivery, managing staff schedules across multiple programs and locations. It's a role that demands precision, flexibility, and cool-headed problem-solving when things don't go to plan (because let's face it - sometimes they don't). If you're the kind of person who gets satisfaction from a perfectly balanced roster and can pivot quickly when circumstances change, you'll love this.
Shape our systems: As we continue to evolve and improve our operations, you'll have the opportunity to influence our rostering systems from the ground up and drive real efficiency improvements.
What You'll Do
Master the roster: Build, maintain and adjust staff schedules to ensure seamless coverage across all shifts and client needs
Champion our systems: Play a key role in optimising our systems
Match skills to needs: Ensure the right people with the right qualifications are in the right place at the right time
Solve the puzzle: Backfill shifts, manage leave requests, and keep overtime to a minimum through strategic planning
Lead with influence: Build strong, professional relationships with Disability Support Workers—being approachable and supportive while maintaining clear boundaries and accountability
Keep everyone informed: Communicate clearly with participants, families, staff and stakeholders about rostering matters
Maintain the details: Keep accurate records for payroll and billing, ensuring everything is audit-ready
Build workforce versatility: Coordinate staff experience across multiple locations to create a flexible, resilient team
Partner with HR: Maintain open communication about staffing needs and workforce planning
What You'll Bring
Essential:
Qualifications in Disability, Community Services or related field (or substantial relevant experience)
Proven experience in scheduling, rostering or workforce coordination—ideally in disability, community or health services
NDIS Worker Screening Check and Working with Children Check
Current First Aid and CPR certification
Unrestricted Driver's Licence
Strong IT skills, including rostering software and Microsoft Office—with the ability to learn new systems quickly
Exceptional organisational skills with the ability to juggle competing priorities
Sharp attention to detail and accuracy
Excellent, clear written and verbal communication
Understanding of (or willingness to learn) the National Employment Standards, Enterprise Agreement, and SCHADS Award
Commitment to person-centred practice and NDIS Practice Standards
What makes you stand out:
You stay calm under pressure and adapt quickly to changing circumstances
You're proactive, forward-thinking, and see change as an opportunity—bringing fresh ideas to improve processes
You can build genuine rapport with staff while maintaining professional boundaries and holding people accountable
You balance empathy with firmness—supportive but able to provide clear direction
You're genuinely committed to ongoing professional development
You understand that behind every roster is a person's support, dignity and goals
What We Offer
Competitive SCHADS Award classification
Salary packaging and remote area benefits
Supportive team environment
The opportunity to influence and shape our systems and processes
Professional development, training and career progression opportunities
A role where you'll make a real difference in people's lives every day
