About the role
As a Contract Officer in our Building Services, Fleet & Stores Department, you will provide contract and vendor administration support services to ensure the effective delivery of Council’s contracts while also supporting the Area Leader Contract Management in overseeing contractor performance, maintaining records, coordinating contract documentation, and ensuring contract compliance with Council’s governance, risk, and procurement standards.
You will bring your strong verbal and written communication skills to work closely with stakeholders to ensure contracts are administered in accordance with expectations, including financial analysis and reporting.
What your day will look like
Monitoring and reporting on the performance of assigned contracts, including bundled technical services, facilities contracts, and direct service agreements, against KPIs, service plans, and compliance obligations
Conducting regular reviews of contract documentation to ensure accuracy, completeness, and currency (e.g. insurances, accreditations, service plans, and deliverables)
Supporting the development and upkeep of contract performance dashboards and data summaries using TechnologyOne and other Council systems
Participating in contract-related meetings and site visits to support performance monitoring, issue resolution, and compliance assurance
Liaising with contractors and internal stakeholders to coordinate meetings, circulate documentation, and track progress against milestones and obligations
Assisting in the preparation of correspondence, briefing papers, reports, and audit-ready documentation relating to contract status and performance
Maintaining accurate and up-to-date electronic records, including contract folders, performance reports, communications, and compliance evidence
Working under the guidance of the Area Leader Contract Management while taking ownership of your assigned contract portfolio to ensure contracts are managed in accordance with Council’s governance, procurement, and risk standards
What you will bring
Required:
Degree or diploma in business, procurement, or contract management
Relevant experience in contracting and/or procurement management systems, particularly in Facilities Management involving direct engagement with contractors, and management of their services to performance management frameworks
Experience in conducting quality audits and providing reporting requirements
Experience in the application of local government procurement legislation and standards
Working with Children Check (or willingness to obtain)
Current Victorian Driver’s Licence
Exceptional written skills and experience in the preparation of clear, accurate and comprehensive tender and contract documents
Demonstrated verbal communication skills and ability to manage day-to-day contractor interactions
Desirable:
Experience in a Local Government or Public Sector environment
