About the role

The ICT Administration Officer provides high-level executive and administrative support to the Chief Information and Digital Officer (CIDO) and the ICT senior leadership team. You’ll play a key role in ensuring the smooth running of daily operations from coordinating governance activities and managing executive approvals to supporting people, culture, and procurement functions across the directorate.

Working closely with senior leaders in a high-performing, change-driven directorate where no two days are the same, the role offers autonomy, a mix of executive support and project coordination, and the chance to contribute to continuous improvement and uplift activities across the ICT function.

On a day-to-day basis you will be responsible for:

  • Leading and supporting one direct report, fostering a collaborative, professional, and positive working culture.
  • Providing high-level executive support to the CIDO and ICT senior leaders, including diary and email management, meeting coordination, and stakeholder liaison.
  • Coordinating governance activities such as agendas, minutes, and action tracking to ensure timely follow-up and accountability.
  • Drafting and reviewing correspondence, memos, and briefing materials, and managing approval workflows and e-signature processes.
  • Supporting procurement activities, including requisition preparation, workflow tracking, and compliance with policies and procedures.
  • Assisting with financial operations such as budget monitoring, invoice processing, and expenditure tracking.
  • Overseeing the CIDO calendar for ICT leadership, events and meetings, aligning closely with the Deputy CEO’s office.
  • Acting as a key point of contact for the ICT directorate (approximately 150 staff), managing enquiries and supporting staff engagement initiatives.
  • Contributing to business improvement and operational uplift projects, helping streamline processes and enhance internal capability.

Our ideal candidate is an individual who is not only highly organised and detail-oriented, but also self-motivated and forward-thinking - someone who anticipates needs, solves problems before they escalate, and keeps things running seamlessly behind the scenes.

In addition, you will bring:

  • Proven experience delivering high-level executive and administrative support in a complex, fast-paced environment (experience in ICT, finance, or the public sector will be highly regarded).
  • Strong experience using Microsoft Teams, Word, PowerPoint and Excel.
  • Excellent communication and relationship management skills, with the ability to liaise confidently across all levels of the organisation.
  • Demonstrated ability to manage competing priorities, shifting deadlines, and sensitive information with discretion and professionalism.
  • Experience supporting governance, financial, and procurement processes, ideally within a government or corporate setting.
  • A proactive, practice-driven approach - someone who enjoys continuous improvement and helping shape how things are done.
