We are now looking for a highly organised and motivated Office Administrator / Accounts Support to join our team at Elimbah. This position will play a key role in keeping our operations running smoothly through administrative, financial, and HR support functions.
About the Role
Reporting to the Financial Controller, this role supports multiple areas of the business including administration, payroll, accounts, HR, and supplier coordination.
It’s an ideal position for someone who enjoys variety, thrives in a busy environment, and takes pride in maintaining structure and accuracy within a fast-paced civil contracting business.
Key Responsibilities
Office & Administration
Manage daily office operations including calls, emails, filing, and document control
Maintain Dropbox folders, templates, and company databases
Manage office inventory, supplies, and IT coordination (liaising with service providers as needed)
Input compliance and safety records using Smarter Safety and Conqa Systems
Accounts & Payroll Support
Capture and check supplier invoices and project dockets
Allocate job numbers and verify rates against approved supplier charge rates
Communicate discrepancies with suppliers and escalate where necessary
Enter weekly timesheets and maintain payroll data in Xero and Timedock System
Assist with accounts payable and receivable tasks as directed
Maintain accurate financial filing and record-keeping systems
any other resonable task directed by the financial controler
HR & Business Support
Maintain staff records, licences, and training documentation
Support management with administrative coordination across departments
Uphold Zafa’s standards in safety, quality, and continuous improvement
What We’re Looking For
Minimum 3 years’ experience in a similar administration or accounts support role (construction/civil industry preferred)
Strong attention to detail and excellent time management
Proficiency in Microsoft Word, Excel, and Outlook
Experience with Xero Accounting System and Dropbox
Excellent communication and interpersonal skills
Ability to multitask and work both autonomously and collaboratively
Current C Class Driver’s Licence
Certificate IV or Diploma in Accounting/Bookkeeping (preferred)
