We are looking for a proactive and detail-oriented Admin Assistant/Personal Assistant to provide administrative support to Kosta's and our Director. The ideal candidate will be able to work autonomously, take initiative, highly organised, have excellent communication skills, and be capable of managing multiple tasks efficiently. This role is crucial to ensuring the smooth running of our business operations and supporting the Director in daily activities.
Key Responsibilities:
Manage the Director's correspondence, emails, phone calls, schedule and requests; responding to, prioritising, escalating and following up on actions as required.
Prepare reports, presentations, and other documents as needed.
Assist in the planning and coordination of business meetings and events.
Maintain accurate and organised records, files, and documentation.
Perform general administrative tasks such as filing, data entry, and office organisation as well as any ad-hoc tasks that arise.
Assist with financial admin such as invoice reconciliation, reporting and payroll coordination.
Assist with inventory management and ordering supplies.
Support the Director in day-to-day business operations, accounts management and special projects.
Liaise with customers, suppliers, and staff as required.
Qualifications:
Minimum 1-2 years of experience as an Administrative Assistant, Personal Assistant, or similar role, handling accounts and other administrative duties
Excellent organisational and time management skills.
Strong verbal and written communication skills.
Proficiency in Google Drive and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Ability to handle sensitive information with discretion and confidentiality.
Strong attention to detail and problem-solving skills.
Ability to work independently and as part of a team.
Experience in the food service industry is preferred.
Ego free and willingness to learn
